Job Summary: 

The Office Assistant provides foundational administrative and clerical support to National Service Officers and office leadership. This role focuses on routine office operations, customer service, and accurate data and records management in a fast-paced service environment. Work is performed under direct supervision.

Essential Functions:

  • Provide front desk and reception support, including greeting visitors and answering calls
  • Respond to general veteran inquiries and route complex matters appropriately
  • Prepare basic correspondence, reports, and forms
  • Maintain and organize physical and electronic files
  • Open, sort, and distribute incoming mail
  • Schedule appointments and maintain calendars as directed
  • Process membership payments and routine transactions
  • Operate standard office equipment (copiers, scanners, fax machines)
  • Support National Service Officers with administrative tasks as assigned
  • Perform other duties as directed by supervisor

Essential Skills and Experience:

  • High school diploma or equivalent
  • 0–7 years of administrative or clerical experience
  • Basic proficiency in Microsoft Office (Word, Outlook, Excel)
  • Strong communication and customer service skills
  • Ability to manage multiple tasks with attention to detail
  • Ability to maintain confidentiality
  • General knowledge of legal and/or medical terminology preferred

  • Physical Demands: Job requires sitting up to eight hours a day and standing up to two to four hours a day. Body movement primarily in hand and arm functions associated with normal office activities. Hand and eye coordination, and hand dexterity is required for handwriting and keyboarding over prolonged periods of time. Requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing and pulling. 
  • Work Environment: The noise level in the work environment is usually minimal.
