The Administrative Assistant supports A&A and Tax Departments by organizing files, handling correspondence, scheduling, and assisting with tax return processes during peak periods.

Responsibilities
- This position supports the A&A + Tax Departments
- Tax: accurate tracking of all tax returns generated by the firm and ordering supplies and forms directly related to the Tax Department.
- Composes, types or transcribes routine correspondence or other writing duties as required/requested.
- Acts as assistant to the Tax Coordinators during busy season and when extensions are due.
- Maintains file of correspondence or other records, electronically or paper.
- Receives, reads and routes incoming mail to Partner or department staff as appropriate or as requested/required.
- Enters chargeable time, prepares expense reports and handles billing for partners.
- Maintains control file of all matters in progress for each assigned Partner/Manager.
- Drafts financial, statistical, narrative, and/or other reports as requested.
- Shares office duties: office filing, kitchen clean-up/organization, front desk receptionist
- Assembles, changes and mails tax returns.
- Schedules appointments, meetings, travel arrangements for any assigned Partners as requested or required.
Qualifications
- 2 years of administrative work experience (supporting C-Level executives highly preferred).
- Basic knowledge of Microsoft Office tools (Word, Excel, Outlook)
- Strong verbal, organizational and assertive interpersonal skills working with a team.
- Ability to use extreme discretion with highly confidential matters.
- Mandatory overtime work from January to April; and other key Tax Deadline periods in July, September, October - may be in excess of 45 hours per week.
