We are hiring for a Sr. Administrative Assistant to support the Co-Heads, Global Strategic Marketing & Research, and Head of Marketing Analytics & Insights with daily administrative and project support.

Responsibilities

  • Scheduling and preparing for meetings and handling calendars for three executives (including general calendaring as needed for two teams)
  • Processing purchase orders, managing business expenses, and personal expense reports
    • Create and maintain an organizational system to keep track of POs and their status in case of errors or revisions
    • Maintain correspondence with vendor billing teams
  • Managing document flow, including creating and maintaining files (electronic and hard copy)
  • Other general administrative duties (processing mail, copying, supplies ordering, etc.)
  • Handling phone calls
  • Updating databases and lists
  • Managing executive travel
  • Miscellaneous duties as required
  • Interface and work with internal and external stakeholders to facilitate meetings, events, etc.
  • Onboarding new hires for both teams
  • Some work outside regular hours (9am-6pm) may be required (and regularly on Mondays)

Qualifications

  • BA required and 1-2 years’ experience as an administrative assistant
  • Strong computer skills (Microsoft Suite)
  • Good math/finance and general business competency
  • Exceptional organizational and interpersonal skills
  • Must be detail-oriented
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Must be able to meet deadlines
  • Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
  • Common sense, dependability, discretion and attention to detail are required
  • Must be a self-starter with a team-player attitude. Excellent communication skills – written and oral, able to deal with and adapt to different personalities and work styles. (must have a professional and courteous demeanor)
  • Interest in movies, entertainment, pop culture, and market research & analytics highly desired

The anticipated base salary for this position is $31.73/hour to $48.27/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
