The Civil Systems Group (CSG) is looking for an Administrative Specialist III to support the Business Development Directorate which has three main functions: The functional management and matrix for all business development for civil, commercial and international customers; the development-focused "incubator" for any new lines of business that Aerospace strategically supports; and the organizational function that manages the commercialization and licensing of Aerospace’s intellectual property through the Intellectual Property Programs Office. Performs office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisor's assignment. Key Functions

  • Performs office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail.

  • Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.

  • Gathers, compiles and reports on information relevant to supervisor's assignment.

  • Prepares and formats reports, memos, correspondence and forms.

  • Proactively assists employees with travel arrangements including transportation and hotel accommodations as well as ensuring clearances and visit requests are in place as required. Processes travel expense reports in a timely manner.

  • Prepares purchase requisitions through approval process and delivery of material.

  • Assists staff and new-hires with office accommodations, onboarding, and standard-operating procedures.

  • Organizes and schedules meetings and reserves conference rooms. Coordinates and supports certain meetings including obtaining clearances, badges and escorts for visitors. Sets up conference rooms and arranges necessary media.

  • Orders office supplies. Monitors printers and copiers for supplies and maintenance.

  • May organize, provide, and coordinate incoming and outbound mail and shipments.

  • May provide back-up to higher level and regional administrative support.

Qualifications

Required
 

  • High School Diploma or equivalent

  • Experience in Microsoft Office 365 applications including Outlook, Word, PowerPoint, Excel, OneNote, SharePoint and Teams

  • Typing and proofreading skills

  • Experience with customer relationship management systems, virtual team collaboration and knowledge management environments.

  • Typing and proofreading skills, including the ability to proof read and edit documents for grammatical and spelling errors.

  • A minimum of six(6) years or more of increasing skill and responsibility in administrative support

  • Customer service orientation

  • Must work well in a team environment

  • Must be detail oriented

  • Ability to prioritize tasks and projects

  • Must possess strong organizational skills

  • Ability to handle multiple priorities and projects at one time

  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations

  • Demonstrated flexibility and ability to adapt to changing organizational needs

  • Demonstrated ability to learn new software applications to adapt to workplace change

  • Strong written and oral communication skills

  • Ability to represent the company favorably to customers and visitors

  • Ability to exercise sound judgment

  • Ability to acquire and maintain Secret clearance

Preferred

  • Bachelor’s degree or equivalent

  • Knowledge of corporate policies, practices, travel and procurement

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENTS

  • Ability to sit or stand for extended periods of time.

  • Ability to use a computer to complete assignments.

  • Ability to communicate with individuals and groups in person, by phone and telepresence.

  • While performing the duties of this job, the employee will typically work in an office environment.

  • Some lifting required.
