About the Role

The RedHelm Project Management Organization (PMO) team manages the delivery of IT, Cybersecurity, and related technology projects once they've been sold, owning each engagement from handoff through completion across the company's major lines of business, including Professional Services, Managed Services, NOC, Cloud, and Security related items. The PMO partners closely with the Engineering team on technical delivery and with the Sales Support team, including Account Executives (AEs) and Sales Engineers (SEs), to ensure a smooth transition from sales to execution.

We are seeking a Project Coordinator to coordinate tasks and provide administrative support and coordination to one or more project teams within the PMO. This role supports and maintains project plans, tracks project progress, and prepares reports and updates for clients and project stakeholders. The Project Coordinator reviews project requirements, identifies interdependencies with internal and external teams, and ensures work is completed on time. The ideal candidate is organized, detail-oriented, and comfortable managing multiple projects, stakeholders, and tight deadlines, adapting as priorities and project timelines shift.


Responsibilities
  • Participate in project strategy development, planning, and risk assessments where applicable
  • Support preparation and maintenance of project plans
  • Review project requirements and identify interdependencies with internal or external departments or service providers
  • Track and monitor project plans, schedules, work hours, budgets, and expenditure
  • Assist with resource management, calendar management, and scheduling, and maintain project management calendar items for fulfilling each goal and objective
  • Organize, attend, facilitate, and participate in project and stakeholder meetings as appropriate; distribute minutes to all project team members and stakeholders
  • Document and follow up on important actions and decisions from meetings
  • Prepare necessary presentation materials for meetings
  • Ensure stakeholder views are managed toward the best solution
  • Assist with the coordination, documentation, and communication of project changes
  • Assist Engineers, Project Managers, and other stakeholders in meeting project deadlines
  • Support standardization of project management and documentation frameworks, and ensure all project documentation is maintained appropriately and adheres to those frameworks
  • Provide other administrative project support, note taking, and documentation as needed
  • Undertake moderate project tasks as required
 Required Skills

Technical Skills

  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Knowledge of file management, transcription, and other administrative procedures
  • Solid working knowledge of project coordination tools, practices and subject matter
  • Ability to monitor and maintain project plans, schedules, work hours, budgets, and expenditures
  • Ability to coordinate with Engineering, Sales Support (AEs and SEs), Project Managers, and other stakeholders, and identify cross-functional interdependencies
  • Strong calendar management and scheduling skills

Soft Skills

  • Strong organizational skills with the ability to manage multiple project details and deadlines across ongoing projects
  • Exceptional verbal, written, and presentation skills, including the ability to communicate clearly with clients and stakeholders
  • Attention to detail in documentation, note-taking, and meeting minutes
  • Ability to follow and improve defined frameworks and processes while managing competing priorities in a deadline-driven environment
  • Ability to work effectively both independently and as part of a team, under general supervision
  • Sound judgment in escalating complex issues to higher-level staff
 Qualifications
  • High school diploma or equivalent required
  • Bachelor's degree preferred
  • 2 to 4 years of experience supporting project management teams required
  • Prior experience in Managed Services, NOC, Cloud, or Security-related engagements preferred
  • Transferable administrative, coordination, or PMO support experience will be considered

Additional Information
  • Full-time, remote, hourly position
  • Typically reports to a department head or manager
  • Travel to company or stakeholder sites may be required as needed, based on project needs
  • Must be able to successfully pass a background check
