FIGS is looking for a Workplace Assistant to oversee all duties at the reception desk including greeting employees, visitors, and vendors to the FIGS HQ office with enthusiasm. The Workplace Assistant with outstanding written, verbal and interpersonal communication skills. The ideal candidate will be a conceptual thinker with fantastic organizational and time management skills. The Workplace Assistant should have excellent administrative skills with the ability to multitask and adapt in a fast-paced environment.  This role is responsible for fostering a positive work environment for all employees and visitors.

What You'll Do:

• Maintain all duties at Reception desk, including greeting employees, visitors, and vendors to the FIGS HQ office with enthusiasm.
• Help ensure all employees/visitors are signing-in, signing-out, and are completing health + safety screening procedures.
• Assist employees with arrival check-in and documentation, health + safety screenings, office orientation, and departure needs, such as parking validations.
• Assist Workplace Manager/HR with health + safety needs
• Coordinate incoming/outgoing packages/mail with Envoy Deliveries
• Work with EA team/Workplace Manager on conference room booking
• Work with Workplace Manager and janitorial staff to ensure the office is tidy and cleaning + disinfecting procedures are to standard
• Help coordinate orders for office supply inventory for items including but not limited to shipping supplies, stationery, health + safety supplies, Facilities tools and equipment, janitorial supplies, kitchen supplies, and team-specific supplies as needed.
• Assist Workplace Manager with office food orders, including placing orders, restocking, and utilizing employee feedback
• Partner with Culture Committee to help with any onsite event needs 
• Assist Workplace Manager with other Workplace assignments as needed

Qualifications:

• 1-2 years of experience working in an administrative role 
• 1-2 years of experience working in an office environment
• 1-2 years of experience in a customer/client facing role
• Comfortable with Project Management Systems (ex. Asana)
• Proficient in Google Suite
• Detail oriented and highly organized
• Exceptional written and verbal communication skills
• Able to work out of the Santa Monica office full-time 
• Based on business needs, flexible hours may be necessary
