We’re seeking a Senior Operations Manager to facilitate and manage key projects on the Research Team at SimplePractice. You’ll coordinate and facilitate all aspects of prioritized Research team projects, directly supporting the Chief Research Officer. This role will be responsible for managing all operational aspects to support the CRO and project team to support successful, timely, and in-scope delivery of the project. You will organize and manage the overall project plan, identify and remove blockers, facilitate effective communications and meetings, and be willing to jump in wherever needed to move things forward. 



You’ll also identify and prioritize operational processes and frameworks to support the needs of the team - with a focus on flexibility, adoption, and alignment with our company culture. You’ll do this by digging in to deeply learn our company, product, team, market, and very intentional company culture. This learning will give you the context you need to adapt all operational processes and frameworks to meet the specific needs of the team.



To get started, you’ll develop a project plan, identify immediate needs, and establish a meeting cadence to get ramped up. You’ll work closely with the CRO and the project stakeholders, including outsourced resources, to support their needs through systems, offloading workload, and identifying solutions to inefficient and ineffective workflows. 



Initial Responsibilities

  • Closely collaborate with all stakeholders of the project and maintain a top-down view of the entire execution
  • Develop and maintain a project plan and any other project management resources that will aid in the timely and high quality delivery of the project
  • Assist in the coordination between external and internal resources
  • Run regular project meetings to facilitate delivery of work, remove blockers, and maintain alignment of project group; including keeping leadership informed
  • Handle administrative tasks such as scheduling meetings, managing contractor invoices, and other operational aspects of ensuring the product is ready to launch.
  • Identify and track any blockers/dependencies between external/internal groups and/or sub-projects and communicate accordingly
  • Proactively track scope changes and effectively communicate, manage expectations, and facilitate the change process
  • Stay informed about all sub-projects and be able to report status updates
  • Facilitate and/or lead various projects deliverables such as the selection of agencies/contractors, go to market planning, and more
  • Design, implement, and manage a clinician vetting process

 

  • Desired Skills & Experience

  • Bachelor's degree required
  • 10 years of experience in operations or project management
  • At least 2 years experience managing/coordinating outsourced resources
  • Strong negotiating, facilitating, influencing, and vendor management skills
  • Strong problem solving and structuring skills, with ability to communicate actionable insights
  • Startup Savvy - You understand the fast pace, the scrappiness, and flexibility required for success….. and you love it
  • Communication skills - Through every medium, and everyone you come in contact with, you know how to communicate effectively, elegantly, and with respect, always
  • Ability to manage conflict and resolve difficult situations
  • Outstanding work ethic, ability to perform under pressure, meet deadlines, prioritize and deliver multiple tasks on time
