Who We're Seeking:

Omaze is looking for an experienced Personal Assistant to support our Chief Executive Officer in addition to assisting other executives and performing Executive Assistant

The successful candidate will be:

  • Meticulous. You have tremendous attention to detail. You take pride in having everything buttoned up!
  • Proactive. You identify needs ahead of time and take full responsibility for managing the CEO's schedule. 
  • Resourceful Problem Solver. You're excellent at seeking out information and finding the best possible solution to any given problem. You can handle a million things at once and instead of saying “No,” you say, “Let me find out!” 
  • A Strong Communicator. You have stellar written communication skills, exercise tact, good judgment, and directly relay updates to internal and external stakeholders.

What you’ll do: 

  • Schedule appointments 
  • Work collaboratively with CEO’s Executive Assistant 
  • Vendor sourcing, selection, and management  
  • Property management including maintenance and communications with HOA
  • Communication with executive’s family and friends
  • Manage press schedule
  • Personal Finance Coordination
  • Personal event coordination
  • Research and source gifts, travel, experiences and more
  • Run errands for CEO as needed
  • Support and assist the President and CFO on administrative responsibilities and following tasks:
    • Managing an active calendar, coordinating meeting and call logistics, managing work and personal travel, appointments, reservations.
    • Manage all meeting logistics, including, but not limited to booking conference rooms, ordering food and set up, assembling data/materials, and updating and distributing the agenda. 
    • Ensure all virtual meetings are up to date and the appropriate platform is being used. 
    • Take meeting minutes and send out follow-up deliverables. 
    • Code and reconcile expenses monthly. 
    • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion
    • Partner with other EAs on special projects under the general direction of management, including coordination of department offsite meetings, interdepartmental meetings, and special events. 

 Our Ideal Candidate:

  • 5+ years of experience assisting CEO or other top executives, in companies that are scaling rapidly
  • Demonstrated longevity in previous roles and a long-term career interest as a Personal Assistant 
  • Exceptional organizational skills and high attention to detail
  • An upbeat attitude and proven ability to thrive in a fast-paced, ever-changing environment and priorities
  • Flexible and able to work varied hours
  • You take your work seriously but not yourself

Location

The office is located in Marina del Rey with easy access to plenty of restaurants. We are close to LAX, beaches and Marina.
