Overview:

  • Workstyle: This is a remote position; however, to be eligible for hire, candidates must reside in a state where Custom Ink is registered to do business as an employer. Eligible states currently include:

    • CA, CO, CT, DC, FL, GA, ID, IL, KY, MA, ME, MI, MN, MO, NM, NC, NH, NJ, OH, OK, OR, PA, SC, TX, VT, VA, WA

  • Reports to: Sr. Operations Manager

  • Travel Expectations: Minimal travel; will be determined by business needs and may include occasional trips for key meetings, collaboration opportunities, or area-connected events.

  • Physical Requirements/Demands:  This is a primarily sedentary, home-based role that requires the ability to remain in a stationary position for extended periods while working at a computer. The role involves regular use of standard office equipment, such as a computer, keyboard, mouse, and telephone. What we’re looking for:

We’re looking for an organized, detail-oriented, and customer-focused Operations Specialist to join our Swag Pro team. You’ll play a vital role in delivering exceptional swag experiences to our customers by managing print orders, overseeing fulfillment, and ensuring on-time delivery. You should bring:

  • 2+ years of experience in operations, logistics, or customer service roles

  • Strong project management and communication skills

  • Comfort working in fast-paced, remote team environments

  • Proficiency with tools such as Excel/Sheets, Slack, and CRM/ticketing systems

  • An action-oriented mindset with the ability to work independently

  • Familiarity with shipping and fulfillment processes a plus

What you’ll do: 

As an Operations Specialist, you’ll help bring our customers’ swag programs to life by:

  • Managing day-to-day order operations, including placing, monitoring production, and tracking print orders with suppliers

  • Monitoring inventory levels and coordinating with vendors on stock issues or replenishments

  • Responding to customer inquiries, supplier questions, and shipping/timeline concerns

  • Handling support tickets related to order fulfillment and delivery timelines

  • Partnering cross-functionally to coordinate special projects and ensure timelines are met

  • Monitoring and managing the inbound order queue to maintain smooth workflow

  • Quoting fulfillment projects and tracking production milestones to ensure on-time delivery

  • Staying informed of industry best practices in printing, shipping, and fulfillment

How you’ll be measured: 

  • Order Success Rate – timely production and accurate fulfillment

  • Customer Support KPIs – responsive, helpful communication with internal teams and customers

  • Gross Margin Awareness – supporting efficient and cost-effective operations

  • Special Project Execution – ability to deliver on timelines and coordination across teams

How you’ll make a difference: 

You’ll be a key part of the Swag Pro Operations team, ensuring our customers’ swag campaigns run smoothly from order placement to delivery. By keeping projects on track, solving problems proactively, and communicating effectively across teams, you’ll help drive a delightful customer experience. Your role will directly support Custom Ink’s mission to bring people together and create lasting connections through branded merchandise.

Compensation: 

Custom Ink is committed to pay transparency and providing fair, equitable compensation in line with market standards and role expectations.

  • For this salaried, non-exempt position, the pay range is $57,000-$69,000. You are eligible for overtime pay in accordance with applicable state and federal law.

  • Placement within the range is determined by a variety of factors, including but not limited to: knowledge, skills, years & depth of experience, and equity with internal team members.
