Join U.S.VETS and help support an organization dedicated to ending veteran homelessness. The Front Desk & Administrative Coordinator serves as the welcoming first point of contact for the U.S.VETS National Office while providing essential administrative and office operations support to the Development team and other departments.

This role is ideal for a highly organized, professional, and customer-focused individual who enjoys working with people, managing multiple priorities, and keeping an office running smoothly.

Key Responsibilities
  • Welcome and assist visitors, veterans, donors, supporters, vendors, and employees in a professional and friendly manner
  • Answer and route incoming phone calls, respond to general inquiries, and take accurate messages
  • Serve as a point of contact for clients, donors, employees, and community partners by phone and email
  • Manage the reception area and help maintain a professional, organized office environment
  • Provide administrative support to the Development team and other National Office departments
  • Manage incoming and outgoing mail, packages, shipments, and deliveries
  • Operate standard office equipment including computers, copiers, scanners, and related systems
  • Maintain electronic and physical files, records, databases, inventory, and office documentation
  • Enter, review, proofread, and maintain accurate information and reports
  • Monitor office supply inventory, place orders, organize supplies, and verify packing slips and invoices
  • Track and maintain accurate expense records and administrative documentation
  • Manage guest parking validation and assist visitors with office logistics
  • Coordinate special shipments and mailings for Development and other departments
  • Assist with office projects, events, and administrative activities as needed
  • Provide backup administrative support to team members and other departments
  • Protect confidential information and maintain professionalism when interacting with internal and external stakeholders
Qualifications
  • 4+ years of reception, administrative, office coordination, customer service, or related experience
  • Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Exceptional organization and attention to detail
  • Ability to manage multiple tasks, prioritize competing deadlines, and work independently
  • Strong problem-solving and decision-making skills
  • Ability to work effectively in a collaborative, team-based environment
  • Professional, dependable, and service-oriented approach
Preferred Qualifications
  • Bachelor's degree preferred
  • Experience supporting nonprofit, healthcare, social services, or mission-driven organizations
  • Experience supporting executives, development/fundraising teams, or corporate offices
  • Experience with office administration, reception, mailroom, inventory, or facilities coordination
