About the Position

The Marketing Project Coordinator supports Project Manager (all brands & AHD) in the planning, coordination, and execution of seasonal marketing initiatives. This role plays a key part in keeping production calendars, catalogs, advertising, and press loan activity organized and on track. The Marketing Project Coordinator assists with day-to-day scheduling, communication, and workflow management to help ensure projects are delivered on time, on budget, and aligned with brand standards. In addition, this role manages press loans and coordinates advertising assets in partnership with PR, Creative, and Graphics teams. Job Responsibilities:

Project Coordination

  • Support Project Managers with project planning, scheduling, and tracking across seasonal launches
  • Maintain production calendars, timelines, task lists, and status updates for marketing initiatives
  • Coordinate cross-functionally with Product Development, Production, Marketing, Creative, PR, and Sales teams
  • Maintain brand data, ensuring accuracy and timely communication across teams
  • Support end-to-end timelines for catalogs, lookbooks, in-studio photoshoots, tradeshow materials, and related marketing assets
  • Coordinate with Product Development, Production, Marketing, Creative, Visuals, PR, and Sales teams
  • Attend photoshoots on-site to support areas where needed 
  • Communicate project updates, deadlines, and requests between internal teams and external partners as directed
  • Provide general administrative and operational support to the Marketing team as needed

Catalogs & Lookbooks & Printed Materials 

  • Assist with the development and production of seasonal catalogs, lookbooks, and printed marketing materials
  • Help manage content flow, including product selection, copy, imagery, layouts, page counts, and approvals
  • Coordinate with Product Development and Production to gather accurate product details, pricing, finishes, and availability
  • Support proofing, revisions, and final approvals to ensure accuracy, consistency, and brand alignment
  • Review image callouts in collaboration with Asset Management, flagging discrepancies or additional retouching needs

Press Loans & Advertising

  • Manage press loan requests in coordination with the PR team, including tracking, fulfillment, returns, and reporting
  • Coordinate advertising schedules, deliverables, and deadlines with publications and internal stakeholders
  • Work closely with the Creative and Graphics teams to develop, review, and deliver ad artwork
  • Ensure advertising assets meet brand standards and publication specifications
  • Maintain organized records of press loans and advertising placements

Requirements

  • 1–2 years of project or production management experience in marketing team environment
  • Proficiency in Microsoft Office and project management tools (Monday.com preferred)
  • Highly organized, detail-oriented, and able to manage multiple deadlines in a fast-paced environment
  • Strong written, verbal, and cross-functional communication skills
  • Comfortable working with cross-functional teams and external partners
  • Willingness to learn and grow within a collaborative team environment

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, stand, walk, use hands to finger, handle or feel; as well as reach with hands and arms. 
  • The employee must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus. 
  • Ability to work in open environment with fluctuating temperatures and standard lighting.
  • Ability to work on computer and mobile phone for multiple hours; with frequent interruptions.
  • Required to use stairwells to attend meetings and engage with employees on multiple floors throughout building.

Compensation

Starting base pay: $26.00 - $28.00 per hour. Exact compensation may vary based on skills, experience, and location.
