We are female-founded, rooted in California (with a distributed workforce and a Venice, CA office) and inspired by the ocean, wellness, and sustainability. About the role:

Join our fast growing beauty brand on a contract basis. We are looking for a savvy, passionate Senior Manager, Wholesale Operations (Contract) to provide leave coverage from approximately November 2026 through May 2027. You will step into an established role and keep our Wholesale business running without disruption, owning account and SKU setup, retailer systems, order and inventory management, and cross-functional execution across retail partners including Ulta, Nordstrom, and specialty and international accounts. The ideal candidate hits the ground running, brings hands-on experience with beauty retailer operations, and is comfortable taking ownership of a full workload quickly. Our mission is to create effective, results-driven skincare that is safe for the planet and humankind.

Requirements
  • Serve as the primary day-to-day liaison across Wholesale, Operations & Fulfillment, Finance, and Trade/Brand Marketing teams, ensuring clear, proactive communication while identifying gaps, aligning priorities, and guiding cross-functional decision-making.
  • Act as the Wholesale process and project manager for product lifecycle changes, including launches, positioning changes, reformulations, name changes, discontinuations, and price changes; own timelines, task tracking in Asana, and internal and external communication.
  • Lead commercial setup for new accounts and SKUs, including retail and non-sell item setup, new account setup in NetSuite and Shopify in partnership with New Business, and accurate item data across all retail partners.
  • Own retailer portals and systems as the central point of contact, including SPS Commerce, Novi, Syndigo, Provenance, and Intertrade; maintain access, data accuracy, and compliance with each retailer's requirements.
  • Partner with Trade Marketing and Account Managers to set up and update retailer PDPs, and manage the Canto wholesale asset portal so retail partners always have current, on-spec content.
  • Oversee end-to-end order management, owning risk identification and resolution related to order accuracy, fulfillment timing, and inventory constraints; communicate out-of-stock and back-in-stock updates to accounts, manage delivery changes, and resolve Ulta OFR adjustments when SKUs are removed from purchase orders.
  • Resolve EDI and SPS item errors and maintain retailer cross-references in partnership with Operations.
  • Create and set up Wholesale GWP SKUs following established SOPs (intake, COGS, and SKU tracking), and coordinate sampling and newness sample sendouts ahead of bulk inventory.
  • Act as liaison for Wholesale retailer sustainability and compliance programs (e.g., Ulta Conscious Beauty, Grove, MECCA), including WERCs and Novi requests and SDS/MSDS documentation, partnering with Product Development and Sustainability teams.
  • Lead and manage special projects, including subscription box programs, corporate gifting and bulk orders, and Wholesale Shopify portal updates, bringing structure, prioritization, and strategic oversight to ad hoc initiatives.
  • Monitor ratings and reviews across retail partners (e.g., Bazaarvoice, PowerReviews/Ulta exports) and share insights with Account Managers and Marketing.
  • Manage recurring Wholesale vendor and tool charges and reconciliation in partnership with Finance.
  • Identify and troubleshoot operational and executional issues, leading cross-functional solutions to minimize disruption; document SOPs and leverage AI tools to build scalable, efficient workflows.
  • Build and maintain strong, trust-based relationships with internal and retail partners, serving as a reliable and solutions-oriented point of contact from day one.
  • Complete a structured knowledge transfer before the leave begins, and keep trackers, SOPs, and open-item logs current so responsibilities transition back seamlessly at the end of the engagement.
Qualifications
  • 3+ years of experience in account management, retail operations, or sales support, preferably within beauty, personal care, or CPG.
  • Ability to ramp quickly and operate independently with minimal training; prior contract or leave-coverage experience a plus.
  • Direct experience working with major beauty retailers (Ulta, Nordstrom, Sephora, etc.) and their vendor portals, item setup, and compliance requirements.
  • Working knowledge of EDI (SPS Commerce preferred), ERP (NetSuite preferred), and Shopify B2B; experience with product content syndication platforms (e.g., Syndigo) a plus.
  • Demonstrated ability to manage detailed timelines and complex, cross-functional workflows with exceptional attention to detail.
  • Strong written and verbal communication skills; confident managing daily retailer conversations and cross-functional coordination.
  • Analytical skills with the ability to maintain revenue and forecast trackers, interpret sales and inventory performance, and identify executional opportunities or risks.
  • Strong experience with Excel/Google Sheets, PowerPoint/Google Slides, Google Suite, and Asana; PowerBI preferred.
  • Experience using AI tools to improve workflows, or a strong willingness to learn.
  • Highly organized, proactive, resourceful, and solutions-oriented.
  • Comfortable operating in a fast-paced, growth-oriented environment.
  • Must be able to work within a 9a-6p US Pacific-Eastern time zone to be considered for this position.
  • Please note that visa sponsorship is not available for this position.
  • Availability to start by early November 2026 for knowledge transfer and commit through June 2027.
Compensation

The anticipated salary range for this position is $80,000–$100,000 per year. The actual salary offer will carefully consider a few factors, including your skills, qualifications, experience, and location. Not all candidates will be eligible for the upper end of the salary range.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
