We are looking for a Human Resources Coordinator to join our corporate team in Irvine, CA.  International Education Corporation (IEC) is the parent company for UEI College, United Education Institute, Sage Truck Driving School, and US Colleges. The HR Coordinator provides comprehensive administrative and operational support across key Human Resources functions, including new hire processing, onboarding, colleague engagement, compliance, leaves, benefits, employee records, and offboarding. This position works closely with campus Office Administrators (OAs), employees, managers, and the Irvine Support Team to ensure the timely and accurate execution of HR processes. The HR Coordinator plays an important role in delivering exceptional and consistent employee experience by providing responsive HR support, maintaining accurate documentation and records, and identifying opportunities to improve the efficiency and consistency of HR processes.

Essential Job Duties and Responsibilities

•    Partner with campus OAs in the preparation, processing, and distribution of offer letters and other new hire documentation.
•    Process and monitor onboarding activities to ensure all required tasks and documentation are completed accurately and timely.
•    Maintain accurate employee information, records, and documentation within Paycom.
•    Monitor onboarding and offboarding data for accuracy, completeness, and reporting consistency.
•    Assist with all areas of the employee lifecycle, including new hires, transfers, changes, leaves, and terminations.
•    Assist with the mailing of final paychecks and required separation paperwork.
•    Respond to employee HR-related inquiries.
•    Prepare and submit employment verification letters and other employment-related documentation as requested.
•    Generate employee data reports, employee listings, and other HR reports as needed.
•    Use Excel to maintain data tracking tools, prepare HR reports, and proactively follow up with colleagues regarding past-due items and outstanding deadlines.
•    Design and deliver PowerPoint presentations related to HR processes, procedures, and initiatives.
•    Provide direct administrative support to the HR team on HR processes, projects, initiatives, and day-to-day activities.
•    Maintain colleague records and ensure data integrity within Paycom and other HR systems.
•    Ensure timely completion of HR workflows through proactive follow-up with managers, campus OAs, employees, and other stakeholders.
•    Assist with leave of absence and benefits administration, as needed.
•    Support compliance with applicable federal, state, and local employment laws, regulations, and company policies.
•    Monitor HR workflows and identify process gaps, inefficiencies, or inconsistencies; recommend improvements to enhance efficiency and overall employee experience.
•    Maintain confidentiality and exercise appropriate discretion when handling sensitive employee and HR information.
 

Qualifications

Education, Experience, and Skillset

•    Bachelor’s degree in Human Resources, Business Administration, Organizational Development, or a related field preferred.
•    2+ years of experience in Human Resources or a related administrative role.
•    Experience supporting core HR processes across the employee lifecycle, including onboarding, employee changes, leaves, and offboarding.
•    Experience working with an HRIS; experience with Paycom preferred but not required
•    Strong knowledge of HR administrative practices, employee records management, and confidentiality requirements.
•    Working knowledge of federal, state, and local employment laws and regulations, with a strong willingness to learn and stay current on applicable requirements.
•    Proficiency with Microsoft Office Suite, particularly Excel and PowerPoint.
•    Excellent organizational skills and attention to detail, with the ability to manage multiple priorities, deadlines, and workflows with accuracy.
•    Strong written and verbal communication skills, with the ability to respond professionally and effectively to employees, managers, and internal stakeholders.
•    Demonstrated ability to follow up proactively and drive completion of outstanding HR tasks and documentation.
•    Ability to work effectively in a fast-paced, highly collaborative, 100% on-site environment.
