BCGDV is seeking a People Operations Specialist to maintain the data used to deploy our workforce. This includes updating our employee personal data via Workday (HRIS) and google sheets, employee skills and project assignments via a proprietary resource management application, employee vacation scheduling and timesheet submissions via  time management software, performance management via Success Factors (SAP), and contractor onboarding via google sheets and Coupa. This position has broad exposure to the business operations processes that run this company: collaborating with members of the HR Operations, Staffing, Finance, People Development, and Vendor Management functions.

In this role you will:

  • Attend daily Staffing team status meeting: take notes, perform data entry to systems, communicate project assignment updates to employees
  • Scrutinize employee timesheet submissions against scheduled project assignments to identify and correct billing errors
  • Support Vendor Management Lead and Finance teams in onboarding new contractors and facilitating the payment of invoices
  • Work with DV HR Manager to maintain HR database — personal data, job, office, compensation and working capacity history, leaves of absence, etc.
  • Perform cross-system research and investigations as requested, using data to frame a response.
  • Uncover and synthesize connections that are not always so clear and help manage processes more seamlessly
  • Create iterable documentation that allows stakeholders to understand the steps of business processes/data analysis process, and duplicate or replicate process/analysis as needed
  • Work with DV HR Manager to maintain immigration records; liaise directly with BCG Immigration team and employees to ensure a smooth visa process
  • Assist with other HR data and reporting requests including but not limited to sick, PTO, LOA and vacation reporting liaising with DV US Finance

You should have:

  • Minimum 1-3 years HR, Finance, Business Operation or administrative support experience, preferably at a professional services firm
  • Comfortable working in Google sheets, Slack, MS Outlook, Excel and database software
  • Demonstrated accuracy and attention to detail in performing high-volume data entry, and data auditing
  • Familiar with Resource Management in a professional services or agency environment
  • Excellent interpersonal skills, able to communicate with all organizational levels inside and outside BCGDV through establishing positive and productive working relationships  
  • Customer service-oriented mentality - responds to requests with a sense of urgency
  • Flexible and adaptable to change and a fast-paced environment
  • Strong ability to anticipate, identify, analyze and solve problems
  • Excellent oral/written communication skills and excellent organization and time management skills
  • Meticulous attention to detail and accuracy
  • Understands and applies BCGDV culture in everyday tasks
  • Must perform well under pressure, take initiative, and handle multiple tasks at the same time with strong attention to detail
  • Project self-confidence, authority, and enthusiasm
  • Ability to handle personnel matters and difficult situations with poise, tact and to maintain confidentiality at all times and exhibit good judgment
  • Self-starting and intellectually curious. Ability to work independently, to take initiative and to overcome obstacles

Additional desired competencies:

  • BA/BS degree strongly preferred
