Greets and checks in patients, registers demographic and insurance information, schedules appointments, manages provider calendars, verifies coverage, collects payments, answers calls, supports forms and records, and maintains an organized reception area. The role requires patient confidentiality, HIPAA compliance, collaboration with clinical teams, and compassionate bilingual English-Spanish communication.
Responsibilities:
Responsible for maintaining the front desk in an organized manner, greeting, registering, and checking in clients, scheduling appointments, and providing information services.
General Duties:
Under the Direction of the Front Desk Supervisor and/or Site Manager:
- Greet and welcome patients, visitors, and staff in a friendly and professional manner.
- Check in and register new and established patients; collect and update necessary demographic and insurance information accurately for:
- At least 2 of the following departments: General Medicine, Pediatrics, Women’s Health, Adolescent Medicine, Patient Assistance
- And 2 Specialties: Patient Screening, Behavioral Health
- Manage the department/providers schedule, using sound judgement, effectively collaborating with care teams and utilizing VCH policies and procedures as guidelines
- Stay up to date on relevant training, including but not limited to Medtrainer Customer Service module(s)
- Schedule patient appointments using the electronic medical records (EMR) system, coordinating with medical staff to ensure optimal patient flow.
- Answer phone calls, respond to inquiries, and direct calls to the appropriate departments or staff members.
- Educate patients on how to prepare for their visits and adhere to VCH patient policies
- Maintain a clean and organized reception area, ensuring it is well-stocked with necessary supplies.
- Verify insurance coverage and eligibility; refer patients to member services for any lapsed coverage
- Collect patient payments, provide receipts, and ensure accurate record-keeping of financial transactions.
- Assist patients in completing required forms and documents, ensuring accuracy and completeness.
- Collaborate with the clinical and administrative staff to address patient inquiries, concerns, and requests in a timely and courteous manner.
- Maintain confidentiality of patient information and adhere to HIPAA guidelines.
- Assist in coordinating patient education materials and resources, if needed.
- Forward UPS/Federal express package information to the appropriate department.
- Perform general administrative tasks, such as filing, scanning, and faxing documents.
- Performs other duties, tasks, and procedures as assigned.
Qualifications:
- High school diploma or equivalent; additional certification in healthcare administration or related field is a plus.
- Previous experience in a healthcare setting or customer service role is preferred.
- Excellent interpersonal skills with the ability to communicate effectively and compassionately with patients from diverse backgrounds.
- Strong organizational and multitasking abilities with a keen attention to detail.
- Proficiency in using electronic medical records (EMR) systems and basic computer skills.
- Ability to maintain composure and professionalism in a fast-paced and sometimes stressful environment.
- Knowledge of medical terminology and insurance procedures is an asset.
- Willingness to learn and adapt to new technologies and processes.
- Ability to work collaboratively as part of a team, demonstrating a positive and cooperative attitude.
- Familiarity with community health centers and the unique needs of underserved populations is a plus.
- Excellent verbal and written communication skills with ability to read, write, speak and understand English and Spanish clearly.
