About the Role:
We are looking for a very organized, proactive bilingual executive assistant to provide administrative and operational support to our CEO and COO. This role will need to work with a wide variety of people across many departments and seniority levels.

Our executives embody an approachable and collaborative leadership style, making it easy to build rapport and communicate openly. Known for their exceptional intelligence, strategic thinking, and leading with clarity and purpose. Working with them is very rewarding and enjoyable.

What You Will Do

  • Provide general administrative support for executives, including schedule management and expense processing
  • Organize and maintain confidential files and documents
  • Plan and coordinate meetings, conferences, and company events, including logistics, note-taking, shipping, catering, and guest management
  • Arrange domestic and international business trips for execs and team members
  • Manage competing priorities to ensure the Executive leadership's time is allocated efficiently, focusing on high-impact activities
  • Work with our Workplace Experience team to support general office operations
  • Manage maintenance of various company-owned and rental vehicles

What We Are Looking For

  • 3+ years of experience as an executive assistant
  • Bilingual in Japanese and English, including spoken and written
  • Exceptional hospitality and strong communication skills
  • Strong organizational and time management skills
  • Able to work in a multicultural environment, across geographies
  • Proficiency in Microsoft Office, Google Workspace, and calendar management tools
  • Proven ability to learn various online services quickly as a user

Nice to Have

  • Comfortable with driving various vehicles, including EVs
  • Flexible time shift, such as 11am to 8pm
