Position Summary

Sony Honda Mobility of America (SHMA) is seeking an experienced, highly organized, and bilingual Executive Assistant to provide high-level administrative and business support to a Vice President who works closely with global leadership in Japan. This role is based on site in Culver City, CA, at least four days per week at Sony Pictures Studios.

In this role, you will serve as a critical communication and coordination partner between U.S. and Japan based executives, teams, and stakeholders. You will manage complex calendars across time zones, coordinate international business meetings, support executive travel planning, and ensure seamless administrative operations.

This is a highly visible and trusted role that requires professional fluency in both English and Japanese, strong cultural awareness, exceptional attention to detail, and the ability to operate confidently in a fast-paced, global business environment.

Job Responsibilities

  • Calendar & Meeting Coordination
    Manage an extensive and frequently changing calendar for the VP, coordinating with other Executive Assistants and leaders across the U.S. and Japan. Prioritize meetings, anticipate scheduling needs, and ensure executives are fully prepared.
  • Travel & Logistics Management
    Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, visas, itineraries, and ground transportation. Anticipate changes and proactively adjust schedules to ensure smooth travel experiences.
  • Expense & Administrative Oversight
    Review, organize, and submit VP expense reports in Concur, ensuring accuracy, timeliness, and policy compliance. Maintain meticulous records, track outstanding items, and follow up as needed.
  • Cross-Functional Support
    Coordinate closely with leadership, People Ops, and Japan-based counterparts to ensure clear communication and smooth execution of business priorities.

Required Qualifications for Position

  • Bilingual proficiency in English and Japanese, both written and spoken, at a professional business level
  • 5+ years of experience supporting senior executives as an Executive Assistant or Senior Administrative Assistant
  • Demonstrated experience working with Japan based teams or global leadership in a corporate environment
  • Proven ability to manage complex calendars and meetings across multiple international time zones
  • Strong organizational skills with exceptional attention to detail and follow through
  • High level of discretion and professionalism when handling confidential business information
  • Proficiency with Microsoft Office, Concur, and enterprise collaboration tools
  • Ability to work on site in Culver City, CA, at least four days per week

Preferred Qualifications for Position

  • Prior experience supporting executives in Japanese or multinational companies
  • Familiarity with Japanese business culture and communication practices
  • Experience supporting executive leadership in technology, media, or automotive industries
  • Experience coordinating executive travel for international business operations

  • Work Arrangement: On-site at Sony Pictures Studios in Culver City, CA, at least 4 days per week.

The anticipated annual base salary for this position is $75,000–$90,000. This range does not include other compensation components or benefits. The actual base salary offered will depend on factors such as the candidate’s qualifications, years of relevant experience, specialized skills, certifications, and work location.
