As an Associate Wedding and Events Specialist, you will have to execute written sales agreements for wedding, group, local, and special events with accuracy and attention to detail. Maintains liaison between customers, their representatives, and hotel departments by coordinating and communicating each department's role in the planning and execution of events. Supports revenue growth and expense management through effective negotiation of services, upselling opportunities, and accurate forecasting. Responsible for the successful execution of assigned events and achieving high customer satisfaction to encourage repeat business and customer loyalty. Develops the leadership, operational, and financial skills necessary to assume a full Manager role through progressively increased responsibility and accountability.

Responsibilities

Position Summary:

  • Responsible for flawless planning and execution of wedding, groups and local sales agreements as assigned by the Director of Catering & Events

  • Initiate written and verbal communication with the customer or 3rd party planner to establish event expectations

  • Supports the achievement of customer satisfaction goals and is responsible for delivering exceptional service throughout the event planning and execution process, as measured through the Meeting Planner Survey (MPS)

  • Manages assigned room blocks as outlined in the sales agreement and maintains effective communication channels between the customer and the Reservations and Revenue departments

  • Assists in monitoring group contract obligations, including performance damages where applicable, and supports the communication and collection process in partnership with the Director of Catering & Events, Revenue, and Finance departments

  • Manages assigned events as outlined in the sales agreement while identifying opportunities to increase Food & Beverage, exhibit hall, and room rental revenues through upselling initiatives

  • Analyze and maximize event’s potential revenues in additional revenue streams, including audio-visual, setup and décor, Spa services, Palapa and Cabana rentals, and other ancillary revenue streams.

  • Maintains accurate oversight of master account billing requirements, ensures deposits outlined in the sales agreement are collected on a timely basis, and escalates concerns when additional deposits may be required

  • Represents the hotel to customers in the negotiation of pricing and terms and conditions of products, labor and services, not specifically articulated in the sales agreement

  • Negotiates service agreements with companies and organizations affiliated with group business

  • Negotiates vendor partner agreements, where needed

  • Coordinates customer experiences through site visits, pre-convention meetings, menu tastings, planning meetings, and other event-related interactions for definite and prospective customers in collaboration with the Director of Catering & Events

  • Keeps an accurate account of booking updates in Delphi. fdc or any other sales & catering system

  • Responsible for an accurate account of booking documents related to the wedding or event such as Banquet Event Order, Estimation of Charges, Final Invoice, Vendor Invoice, and Event Resumes

  • Participates in internal and external meetings i.e., daily stand-up, weekly BEO meetings, weekly scrubs meeting, forecast meeting, group pick-up meeting, GRC meeting, department meeting and any other meeting as assigned by the Director of Catering & Events

  • Participates in internal and external trainings as assigned by the Training Manager or Director of Catering & Events

  • Participates in training, coaching, and professional development opportunities designed to enhance event management, leadership, financial acumen, and business management skills in preparation for future advancement opportunities

  • Must be able to attend clients and phone calls in a professional manner

 

Supportive Functions:

  • Assist in sales initiatives by the hotel's sales team, Aruba Convention Bureau, Aruba Tourism Authority, and/or Hilton as a whole. This includes site inspection, familiarization trips, destination review, or any other customer-facing event as determined by management

  • Assist the Banquets and Food & Beverage Team in physical movement of hotel or customer equipment to complete a tight turnaround event setup

 

Other Duties:

  • Assists with team projects, when needed

  • Performs other duties and responsibilities within the department as assigned and requested 

  • All other tasks as requested by management

Qualifications

Required Qualifications:

  • Education: HBO or equivalent required.
  • License/Certification: Valid Health Certificate (Green Card) required.
  • Experience Level: Supervisory-level experience preferred.
  • Years of Related Experience: 0–3 years.
  • Systems Experience: Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Language Skills: English required.
  • Additional Language Skills: Spanish, Dutch, and Papiamento are preferred but not required.
