Summary: The Accounting Transition Supervisor oversees the smooth transition of new accounts coming into Keystone, including the team members who perform day-to-day transition, balance forward, and ACH functions. The individual will direct and review the work of the transition team, be highly involved in any account merger or acquisition, and work closely with other departments, banks, and prior management companies to ensure that all financial records are complete and accurate. The ideal candidate can read and interpret association financial statements and brings hands-on experience with HOA banking operations and account transitions.

Essential Job Duties and Responsibilities:

Oversight and Leadership

  • Oversee all duties and responsibilities listed below and the team members who perform them.
  • Assign, prioritize, and track new account transitions to ensure deadlines are met.
  • Review and approve transition work for accuracy, including opening balances, balance forwards, and membership imports.
  • Review financial statements, aging reports, and bank records from prior management and identify discrepancies before accounts go live.
  • Oversee HOA banking setup, including operating and reserve accounts, signature cards, treasury services, and ACH.
  • Train, coach, and support transition team members; serve as the escalation point for complex issues.
  • Develop and maintain transition procedures, checklists, and internal controls.

New Account Transitions

  • Extract files from software conversion and import accounting information into new software.
  • Analyze and interpret accounting records from prior management, including accounts receivable balance forwards.
  • Import homeowner membership listings into software system.
  • Notify third-party vendors (i.e. banks and partners) of new management company.
  • Prepare treasury services for new accounts.

Balance Forwards

  • Analyze and interpret aging reports and financial documents from prior management.
  • Manipulate Excel spreadsheets for proper formatting.
  • Prepare delinquency resolution.
  • Review/Release Signature Card.
  • Configure Software Based off Client's Needs.
  • Portal and ERP System.

ACH Responsibilities

  • Create and audit the daily and recurring ACH file.
  • Maintain the ACH Department email.
  • Input ACH applications and cancellations.
  • Process ACH refunds monthly.
  • Research inquiries regarding ACH payments received from other departments or clients.

Payments / Adjustments

  • Process ACH and online payment returns from Banking institution.
  • Research credit card chargeback requests.
  • Address payment/portal inquiries.

Other

  • Find best practices to streamline accounting processes.
  • Coordinate termination of associations.
  • Coordinate with various banks to close prior management accounts.
  • Organize and manage miscellaneous accounting projects.
  • Practice and adhere to Keystone’s Core Values, Mission and Vision.
  • Any additional job duties as required by the supervisor.

Requirements

Qualification Requirements:

  • Three or more years of accounting experience preferred, ideally in HOA or community association management.
  • General knowledge of GAAP Accounting.
  • Ability to read, analyze, and interpret association financial statements, including balance sheets, income statements, budget comparisons, reserve reports, and aging reports.
  • Experience in HOA banking operations (operating and reserve accounts, lockbox, ACH, signature cards, treasury services) strongly preferred.
  • Experience managing HOA account transitions, onboarding, or management company changeovers strongly preferred.
  • Prior supervisory or team lead experience preferred.
  • Ability to multitask.
  • Strong attention to detail.
  • Possess advanced knowledge of MS Excel. 
  • Verifiable references.
  • Able to pass a background check. 

Education and/or Experience:

  • At least three years of experience working in an Accounting related role preferred, including experience overseeing the work of others.
  • Bachelor’s Degree preferred.
  • High School Diploma required.
