Summary:

The Workplace Experience Specialist helps create a positive and welcoming environment both in the office and online by supporting daily office operations and assisting with digital tools and processes. They provide essential support for employees’ needs, whether in-person or virtually, ensuring smooth operations across both workspaces. This role involves collaborating with various teams to enhance the overall workplace experience. The ideal candidate is friendly, organized, and a strong communicator, with a background in customer service and basic knowledge of Google Suite, to assist in maintaining an efficient and supportive work environment.

This is an in-office role that requires you to work on-site at our Santa Monica office five days a week, with occasional travel to our Phoenix office and other events as needed.

Key Focuses:

  • Maintain a professional presence at the reception desk to greet employees, visitors, and vendors while providing answers and guidance as needed
  • Manage workplace services, including office access, badge distribution, parking access, and general office inquiries.
  • Oversee office operations such as supply management, janitorial coordination, and maintaining a clean, organized workspace.
  • Support catering and food programs, including daily snack and beverage offerings and lunch orders.
  • Handle incoming and outgoing mail, deliveries, and FedEx shipments, ensuring timely distribution.
  • Triage and respond to email inquiries related to office access, visitor coordination, meeting requests, catering, and special travel accommodations.
  • Support quarterly collaboration weeks by assisting with event logistics, such as attendee coordination, communications, and material preparation.
  • Coordinate team-building activities, including researching venues and planning group events.
  • Provide onsite meeting support by coordinating conference room requirements, managing catering needs, and facilitating seamless facility operations. 
  • This position requires timely arrival to ensure the front desk is staffed and operational during business hours.  Regular work hours are 8:30am PT - 5:00pm PT and reliability in attendance is essential.

Minimum Qualifications:

  • Ability to work in our Santa Monica office five days a week.
  • 2+ years of experience in a customer service or administrative support role.
  • Proficiency in Google Suite (Gmail, Drive, Docs, Sheets, Calendar).
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Problem-solving mindset with the ability to adapt to last-minute changes.

Preferred Qualifications:

  • Experience managing workplace experience programs or office operations in a corporate environment.
  • Familiarity with workplace access systems, such as badge management software or visitor registration tools.
  • Experience handling mailroom logistics, including FedEx and other shipping services.

The US base pay range for this full-time position is $25.25/hr-$37.25/hr. Our pay ranges are determined by role, level, and location, and the range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location, role-related knowledge and skills, depth of experience, relevant education or training, and additional role-related considerations.

Depending on the position offered, equity, bonuses, commission, or other forms of compensation may also be provided as part of a total compensation package, in addition to a full range of medical, financial, and other benefits.
