The Wholesale Operations Coordinator manages day-to-day wholesale operations, including order management, logistics, account maintenance, and communication with retail partners.
Purpose & Objective
The Wholesale Operations Coordinator supports the daily operational functions of the wholesale business, assisting with order management, logistics coordination, account maintenance, and cross-functional communication. This role works closely with the Wholesale Operations Manager and sales team to ensure smooth execution of wholesale orders and exceptional service to retail partners.
Job Responsibilities and Duties:
- Assist with end-to-end order management, including order entry, tracking, and fulfillment updates.
- Support account setup, data entry, and maintenance in ERP and wholesale systems (e.g., Le New Black or NuORDER).
- Coordinate with 3PLs and warehouse teams to ensure accurate shipments and on-time deliveries.
- Monitor order statuses and proactively communicate updates to internal teams and wholesale partners.
- Help resolve order discrepancies, returns, and chargebacks in collaboration with the operations team.
- Prepare and organize product samples for wholesale customers, e-commerce launches, and social media shoots.
- Assist the sales team with administrative and logistical tasks during quarterly sales markets (4x per year).
- Generate basic reports and assist in post-season recaps or operational summaries.
- Support process improvements to streamline operations and enhance accuracy across systems.
Knowledge, Skills, and Ability Requirements:
- 2-3 years of experience in wholesale operations, sales support, or order management (fashion, apparel, or consumer goods preferred)
- Familiarity with ERP and EDI systems such as NetSuite
- Experience with wholesale platforms such as Le New Black or NuORDER is a plus
- Strong organizational skills with attention to detail and follow-through
- Excellent written and verbal communication abilities
- Comfortable managing multiple priorities in a fast-paced environment
- Proficient in Microsoft Excel and basic data analysis
- Bachelor’s degree in Business, Supply Chain, or related field preferred
