The New Hire Experience Program Coordinator is responsible for supporting the end-to-end onboarding and integration experience for new employees. This role partners closely with Talent Acquisition, Hiring Managers, Technology, Licensing & Registrations, Compliance, HR teams, and other business stakeholders to ensure new hires feel welcomed, prepared, and connected from offer acceptance through their first several months with the organization.

The ideal candidate is highly organized, detail-oriented, customer-focused, and passionate about creating a positive employee experience. This individual will manage onboarding logistics, coordinate communications, monitor key milestones, support orientation programs, and serve as a trusted resource for new hires.


Job Responsibilities
  • Partner with the Employee Experience team lead to coordinate the end-to-end onboarding activities from offer acceptance through the first 90 days of employment.
  • Support pre-start activities, including welcome communications and introductory calls, onboarding schedules, and new hire preparation.
  • Assist with Day 1 readiness, including technology setup coordination, access requests, welcome materials, and orientation logistics.
  • Serve as a primary point of contact for new hires, answering questions and connecting them with appropriate resources.
  • Coordinate new hire orientation sessions, welcome events, and onboarding programs.
  • Track onboarding progress and escalate issues that may impact the new hire experience. 
  • Help develop initiatives that foster engagement, inclusion, and a sense of belonging for new hires.
  • Assist with special projects related to employee experience, onboarding, and culture initiatives.

Required Qualifications, Capabilities, and Skills
  • Bachelor's degree or equivalent experience. 

  • 3-5 years of experience in Employee Experience, Human Resources, Recruiting Coordination, Learning & Development, Event Coordination, Operations, or a related field. 

  • Strong organizational and project management skills. 

  • Excellent verbal and written communication skills. 

  • Ability to manage multiple priorities in a fast-paced environment. 

  • Strong attention to detail and customer service mindset.

  • Ability to work independently and adapt to changing priorities.

  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Teams, with comfort adopting and utilizing AI-powered solutions to streamline processes and improve the user experience.

 

Preferred Qualifications, Capabilities, and Skills
  • Experience with onboarding programs, employee engagement initiatives, or coordinating events.

  • Knowledge of process improvement, or human-centered experience design practices.

  • Facilitation and presentation experience, including coordinating senior speakers and leading virtual or in-person sessions.

  • Interest in employee experience, workplace culture, or organizational development.
