This is a remote position.
Our client is looking for a Part-Time Executive Assistant to provide strategic and operational support to their CEO in a fast-paced and highly collaborative environment. Their company operates within the technology industry and has spent the past several years building innovative solutions that help businesses improve organization, productivity, and workflow management.
This role is ideal for someone who thrives on structure, enjoys anticipating needs before they arise, and takes pride in helping executives stay organized and focused. The Executive Assistant will play a key role in managing communication, tracking priorities, coordinating schedules, and ensuring important tasks and deadlines remain visible and on track. The ideal candidate is proactive, resourceful, highly detail-oriented, and comfortable working independently in a fully remote environment.
- Manage and maintain the CEO’s inbox, including organizing communications, prioritizing messages, drafting replies, and sending responses on their behalf.
- Coordinate and optimize the CEO’s calendar by scheduling meetings, protecting focus time, preventing conflicts, and ensuring preparedness for upcoming commitments.
- Track ongoing priorities, pending tasks, and follow-ups to ensure responsibilities and deadlines are completed on time.
- Maintain visibility over the CEO’s projects, commitments, and action items while proactively identifying bottlenecks or areas needing attention.
- Support organizational workflows and improve operational efficiency across daily activities.
- Conduct research and gather information as needed to support executive initiatives and decision-making.
- Assist with documentation, communication drafting, and administrative coordination.
- Ensure accurate organization of files, notes, schedules, and executive priorities.
- Communicate effectively with internal and external stakeholders in a professional manner.
Requirements
- 3–4+ years of experience supporting executives or leadership teams.
- Strong written and verbal communication skills.
- Excellent grammar, editing, writing, and organizational abilities.
- Strong time management and planning capabilities.
- Ability to manage multiple priorities in a fast-moving environment.
- Comfortable working with technology, productivity platforms, and software tools.
- Experience using Mac and iOS environments.
- Proficiency with productivity tools such as Apple Mail, Keynote, Microsoft Word, and Excel.
- Ability to work independently while maintaining a high level of accuracy and accountability.
- Strong attention to detail and follow-through.
- Previous experience supporting C-level executives is highly valued.
- Experience handling confidential information with discretion and professionalism.
- Familiarity with Daylite CRM or similar productivity systems is considered a plus.
- Comfortable adapting to changing priorities and dynamic workflows.
- Strong sense of ownership and initiative.
- Ability to anticipate needs and proactively solve problems.
- Familiarity with Apple devices and macOS workflows (Apple MacBook required).
