Our client is looking for a highly organized and proactive Virtual Assistant to provide comprehensive administrative support to their dynamic team. Responsibilities

  • Manage all incoming phone calls, directing them to the appropriate team members and taking detailed messages.

  • Serve as the first point of contact for client inquiries, ensuring all communication via phone and email is handled with professionalism and promptness.

  • Greet and assist participants in a virtual meeting environment using platforms like Zoom.

  • Oversee complex calendar management, including scheduling and confirming appointments, meetings, and external engagements using Google Workspace.

  • Maintain a meticulously organized and current company-wide calendar to prevent conflicts.

  • Proactively send reminders and follow-up communications to both clients and internal staff.

  • Monitor the main inbox, prioritizing and sorting incoming emails to ensure urgent matters are addressed swiftly.

  • Draft, proofread, and send various forms of correspondence on behalf of the team.

  • Guarantee timely responses to all emails from clients and vendors.

  • Accurately enter and update critical client and project data within CRM systems and Google Sheets.

  • Maintain a logical and orderly digital filing system for all company documents.

  • Assist in formatting and preparing reports, spreadsheets, and other documents in Microsoft Office and Google Workspace.



Requirements
  • Proven experience in an administrative support role such as an Executive Assistant, Virtual Assistant, or Administrative Assistant.

  • Exceptional verbal and written English communication skills are mandatory.

  • Outstanding organizational abilities and a keen eye for detail.

  • Proficiency with Microsoft Office Suite, Google Workspace (G-Suite), and common online scheduling tools.

  • A demonstrated ability to handle confidential information with the utmost discretion.

  • Must be self-motivated, reliable, and capable of working effectively without direct supervision.
