Role Overview
This Administrative Assistant role provides proactive administrative support to the Head of Total Rewards and the Head of HR Services & Solutions, and their teams as needed, with a focus on calendar management, meetings planning, and day-to-day operational support. The role supports scheduling across multiple stakeholders and helps ensure meetings and activities, including those with senior leaders and external partners, run smoothly. The role also handles expense management and other administrative tasks, and partners with the broader HR administrative team to provide backup support as needed to maintain efficient operations across HR.
The ideal candidate brings a high degree of organization, judgment and discretion, and is able to anticipate scheduling needs, manage logistics, and help resolve conflicts with guidance as needed.
What You'll Do
  • Manage calendars and daily priorities for senior HR leaders, including prioritizing meeting requests based on executive direction.
  • Provide comprehensive administrative support, including assistance with meetings preparation, tracking deliverables, monitoring deadlines, and proactively following up on action items.
  • Plan and coordinate meetings and events for Total Rewards and HR Services & Solutions as directed, managing competing meeting requests and all logistics (room setup, catering, materials distribution, etc.), and ensuring seamless execution.
  • Prepare and submit expense reports and coordinate travel arrangements as needed.
  • Maintain organized files and records, both electronic and physical, in accordance with departmental standards.
  • Serve as a point of contact for Total Rewards and HR Services & Solutions internal and external stakeholders, applying sound judgment to respond to inquiries and escalate when appropriate.
  • Partner with vendors and internal teams to support office and operational needs.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Collaborate with other administrative professionals to ensure seamless support and coverage.
  • Perform additional administrative duties as assigned.

What You'll Bring
  • 5+ years of administrative or related experience, with demonstrated experience supporting senior leaders.
  • Strong proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
  • Strong verbal and written communication skills, with the ability to draft and refine professional communications.
  • Excellent organizational and time management skills with strong attention to detail.
  • Proven ability to manage competing priorities and work independently within established processes and procedures.
  • Professional presence with the ability to interact effectively with individuals at all levels, including C-suite and external partners.
  • Demonstrated ability to handle confidential information with discretion and sound judgment.
  • Experience working in a fast-paced, corporate or professional services environment preferred.
  • Comfort with learning new tools and technologies to enhance administrative efficiency.
  • Bachelor's degree preferred

Pay Transparency
Salary Range: $60,500-$86,000
Overtime eligible: Nonexempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
