Sr. Administrative Assistant, Corporate Communications
The Sr. Admin Assistant for Corporate Communications will work closely with two SVPs supporting various Internal Communications activities across various platforms and events, ensuring the department operations run efficiently. The ideal candidate will be highly detail-oriented, fast working, organized, resourceful, flexible, friendly, professional and excel at muti-tasking.
Responsibilities
- Provide admin support for two SVPs:
- Schedule meetings
- Handle expense management reports
- Submit invoices
- Order supplies
- Assist with onboarding tasks
- Update and maintain department budget sheets
- Support internal employee events (manage RSVP lists and assist on day of event)
- Prepare tests of email communications and send to broad distribution lists
- Proofread a variety of internal and corporate communications
- Coordinate reviews and approvals on internal and corporate communications
- Draft operational communications working closely with head of internal communications
- Employee Intranet
- Draft and revise content submitted for company intranet; tag with key words
- Upload content and remove when dated
- Update Messages for Employees section
- Liaise with IT on request from clients
- Support on creation and curation of monthly Employee Newsletter
- Monitor multiple email boxes for incoming emails and replies
- Maintain Internal Corp Comms archive
- Stay up to date with trailer launches, premieres and other events for The Latest email blasts by meeting with Corp Comms communicators
- Back-up for sending SPE Daily Clips (review, compile, send)
- Support executives at internal and external events
Qualifications
- Bachelor’s degree is preferred
- 2 – 3 years’ experience as an administrative assistant or coordinator in the entertainment field
- Excellent written and oral communication skills
- Detail oriented with exceptional organizational skills
- Professional and courteous demeanor
- Ability to multi-task and prioritize to ensure all assignments are completed accurately and in a timely manner
- Flexible and autonomous with an ability to work well in an environment where needs and priorities are subject to change
- Resourceful self-starter with a team-player attitude
- Must be able to maintain discretion and confidentiality
- Common sense, dependability and excellent interpersonal skills
- Strong computer skills (Microsoft Office – Word, Excel, PowerPoint)
- Experience with public relations/corporate communications preferred
