The Role:

Ora’s Site Payment Administrator is responsible for the management of manual and electronic site payments on a quarterly/ad-hoc basis and assist with administrative tasks in the Posterior Segment. Department. Work with Posterior Segment clinical project teams and study sites to process site payments for the clinical trials and submit to accounts payable.  

What You’ll Do:

      • Electronic Site Payments: 
        • Work with IT on the initial set up of budget templates in Veeva Vault for study and site level budgets 
        • Responsible for entering site specific data into the budget templates and maintaining study site budgets in Veeva  
        • Work with Project Managers to get both study and site level budgets approved 
        • Process site visit payments and invoices through Veeva Vault 
      • Manual Site Payments: 
        • Responsible for creating payment trackers, tracking payments on excel spreadsheet, and submitting site payments to accounts payable per the site contract  
        • Review site invoices for accuracy against site approved budgets and pay through accounts payable 
        • Communicate with site contact regarding invoice discrepancies or general questions related to site payments 
        • Work within EDC to track subject status (i.e. screen failures, ongoing, and completed subjects per study visits) 
        • Provide site payment tracker and invoice to accounting for payment 
      • Other: 
        • Perform other department related tasks, as assigned 
        • Adhere to all aspects of Ora’s quality system.  
        • Adhere to all essential systems and processes that are required at Ora to maintain compliance to Ora’s data integrity & business ethics and regulatory requirements.

        • Responsibilities may differ from the above based on the specific needs of the business. 

What We Look For:

  • Experience Needed for the Role:
    • Experience/understanding of Clinical Site Contracts as they relate to site payments 
    • 3+ yrs Accounts Payable processing experience. 
    • Associates or bachelor’s degree in Business or Life Sciences, with one or more years’ experience in clinical research or equivalent combination of education, training and experience. Years of experience may be considered in lieu of education. 
    • Attention to detail, ability to work independently, general knowledge of accounts payable and miscellaneous accounting functions  
    • Ability to adapt to changing assignments and multiple priorities  
    • Ability to manage multiple tasks and successfully meet deadlines  
    • Demonstrated ability to communicate effectively and professionally 
    • Ability to apply analytical and problem-solving skills; ability to act with a consistent sense of urgency and acute attention to detail 
    • Knowledge of GCP/GXP/ICH regulations 
    • Experience with clinical trials a plus 
    • Committed to consistently producing high quality work 
    • Experience with Adobe, Excel spreadsheets, Microsoft Word and Outlook 
  • Additional Skills and Attributes:
    • Ophthalmic experience strongly preferred
    • Experience using automated payment systems.
