Position Profile

The Site Coordinator is accountable for the daily operations of a solo‑person site. This role is responsible for performing contracted office services, including but not limited to Copy Services, Courier Services, Managed Print Services, Hospitality, Imaging, and Mail Services.

Job Duties and Responsibilities
  • Manage daily operations of a mail room, copy center, or scanning facility.
  • Operate a variety of office equipment such as PCs, copiers, multifunction devices, imaging equipment, and mail equipment.
  • May handle:
    • Courier Services
    • Reception Services
    • Switchboard Operations
    • Shipping & Receiving
    • Mail delivery and processing
  • Serve as the primary daily point of contact for the customer.
  • Implement and manage Ricoh Service Excellence programs effectively.
  • Operate equipment and software efficiently to meet service level agreements.
  • Maintain profitability through effective use of company materials and supplies.
  • Perform routine facility‑related functions, including:
    • Creating and completing work orders
    • Monitoring contractors
    • Conducting inspections
    • Reporting facility issues
    • Providing support as needed
  • Interact with contracted vendors, facility management, and building occupants as required.
  • Manage office‑supply inventory and re‑ordering.
  • Support conference‑room coordination and A/V equipment resource management.
  • Maintain positive internal working relationships by communicating professionally with all departments.
  • Collect and provide operational data to leadership and/or the customer; may assist with monthly reporting.
  • Ensure financial responsibilities and cost controls are met.
  • Perform other duties as assigned.
Qualifications (Education, Experience, Certifications)
  • High School Diploma or GED required.
  • 1+ years of experience in a related field (B2B or technical preferred).
  • 1+ years of customer‑facing experience required.
  • Demonstrated basic knowledge and understanding of technology.
Knowledge, Skills, and Abilities
  • Tactical and practical problem‑solving skills.
  • Ability to present to small groups.
  • Moderate problem‑solving capabilities.
  • Basic customer‑service skills.
  • Basic technical aptitude.
  • Strong written and verbal communication skills.
Working Conditions & Physical Requirements
  • Work performed in an office environment with standard lighting, ventilation, temperature, and noise levels.
  • Work assignments vary; requires ability to interpret and apply complex information.
  • Some physical activity required: walking, standing, bending, reaching, and lifting up to 50 lbs.
  • Regular use of basic office tools (calculator, keyboard), hand tools, and eye/hand coordination.
