Position Overview

The Senior Sales Manager is responsible for strengthening Front Desk performance, improving patient engagement and conversion, and optimizing the patient journey from initial inquiry through successful clinical intake.

This role focuses on coaching and developing Front Desk staff, leading database reactivation and outbound outreach initiatives, improving consultative communication, and using data-driven insights to increase appointment and intake conversions.

The position also works closely with Clinical and Marketing teams to ensure alignment between patient needs, clinical services, lead quality, and intake outcomes while maintaining strict standards for CRM data integrity and HIPAA compliance.

Key Responsibilities

1. Front Desk (FD) Coaching, Training & Talent Development

  • Simultaneous Talent Upgrading: Actively train, develop, and coach FD staff in real-time alongside daily operations, building their confidence and capabilities to successfully handle lead-to-intake calls.

  • Consultative Scripting & Playbooks: Develop and implement communication playbooks, value-focused scripts, and pre-qualification scorecards to upgrade FD conversations from rigid, price-focused answers to empathetic, value-driven consultations.

  • Live Coaching & Feedback: Conduct regular call monitoring, side-by-side coaching, and constructive role-playing sessions. Train FD staff to listen for specific clinical indicators and effectively "match" patients with the optimal clinical specialist.

  • Performance Incentives: Design, implement, and track ethical, milestone-based incentive structures for the FD team to boost motivation, appointment-show rates, and formal intake conversions.

2. Database Reactivation & Outbound Outreach Strategy

  • Dormant Record Optimization: Audit historical, un-converted patient files and segment them by historical drop-off points (e.g., pricing objections, insurance delays, or schedule friction).

  • High-Impact Outbound Campaigns: Personally lead and execute strategic outbound "warm-call" campaigns targeting near-conversion prospects and lapsed patients close to committing to an intake.

  • Objection Handling & Closing: Overcome patient hesitation regarding cost, timing, or clinical concerns by using empathy-led, value-based sales techniques that prioritize patient health outcomes.

  • SOP Development: Create repeatable outbound calling frameworks, sequence templates (Phone, SMS, Email), and tracking workflows to ensure the database is systematically reactivated.

3. Cross-Functional Alignment & Insights Integration

  • Clinical Collaboration: Work hand-in-hand with the Clinical Director to understand complex medical offerings, patient eligibility, and care protocols. Translate these clinical indicators into clear, actionable sales parameters for the FD staff.

  • Marketing Feedback Loop: Provide real-time data to the Marketing Team regarding lead quality, ensuring digital acquisition campaigns align with actual high-value clinical intake profiles.

  • Patient Journey Mapping: Constantly audit and streamline the patient pipeline from initial touchpoint (ad click or outbound call) to successful clinical intake, eliminating operational bottlenecks.

4. Data Analytics, CRM Governance & Compliance

  • Pipeline Metrics: Monitor, analyze, and report weekly on core funnel metrics: Outbound Reactivation Rate, Lead-to-Call Rate, Call-to-Consultation Rate, and Consultation-to-Intake Rate.

  • Data Integrity: Enforce strict administrative compliance among FD staff regarding CRM entry, ensuring clean data capture, timely follow-ups, and absolute HIPAA/health data privacy compliance.

Qualifications
  • Experience: 5+ years of sales management experience, preferably in high-growth healthcare, medical, wellness, or consultative services.

  • Proven Training Track Record: Demonstrated success in simultaneously coaching, developing, and training front-line customer service, administrative, or FD teams into high-performing, revenue-generating units.

  • Sales Excellence: Proven capability in phone-heavy outbound sales, database reactivation campaigns, and handling complex patient/client objections.

  • Technical Proficiency: Advanced experience navigating CRM platforms (Zoho preferred) and/or Electronic Medical Record (EMR) systems.

  • Communication Style: High emotional intelligence, exceptional active listening skills, and the ability to project deep empathy without losing sales momentum.
