Talkiatry is seeking a Senior Program Manager, Clinical Recruitment Marketing & Events to sit at the intersection of Marketing and Talent Acquisition, driving the strategy and execution of national psychiatrist and Advanced Practice Provider (APP) recruitment events. This role builds trust-based relationships with psychiatry residency and fellowship programs, including program directors, faculty, and trainees, across the country, translating those relationships into a strong pipeline of clinicians who will join Talkiatry post-training.

This is a highly visible, cross-functional role for someone who combines event strategy, marketing execution, and recruitment expertise to deliver measurable outcomes that support clinical excellence and organizational growth.

What You'll Do:Residency and Fellowship Program Outreach and Events
  • Serve as a brand ambassador for Talkiatry; engage trainees and build relationships with psychiatry residency and fellowship programs nationwide, including program directors, faculty, program coordinators, chief residents, and chief fellows.

  • Build and grow a national footprint of target programs, prioritizing outreach based on program size, specialty focus (e.g., child & adolescent, addiction, forensic psychiatry), and geography.

  • Plan and execute dinners, social events, and virtual events for residents and fellows, and deliver ongoing clinical education and clear introductions to Talkiatry's practice management model, incentives, and a transition-to-practice pathway for those nearing graduation.

  • Articulate Talkiatry's mission and core values in ways that resonate with program leaders.

  • Maintain long-term relationships with program leaders to support annual visits (virtual or in person) and serve as a consistent, credible point of contact throughout the recruitment lifecycle.

  • Use various tools and databases to connect with residency/fellowship program contacts, and track all contacts and outreach in the ATS/CRM.

  • Collaborate with marketing on presentation materials, collateral, and e-invites.

  • Own full-cycle event planning and track fiscal activities associated with each event.

  • Attend residency and fellowship events as needed.

Networking Event Planning for Practicing Providers
  • Plan and execute virtual career/open house events:

    • Partner with marketing on content development and preparation.

    • Drive event advertising and psychiatrist outreach via social media, email blasts, etc.

    • Create event invitations and manage registration.

    • Ensure the technology platform is arranged and functioning.

    • Staff events with members of the Talkiatry clinical team.

  • Plan and execute in-person networking events, some of which are associated with conferences.

  • Track fiscal activities associated with each event.

  • Attend conferences as needed.

Conference and Event Strategy & Execution
  • Conceptualize event themes and formats tailored to each psychiatry residency/fellowship program's needs and goals.

  • Manage end-to-end event logistics: timelines, technical coordination, budgets, vendor engagement, and contract negotiation.

  • Plan and execute exhibiting at various conferences each year.

  • Manage the scheduling, agenda development for attending staff, documentation, and tracking of each event's action items, including booth selection and payment, ordering of swag, display materials, lead retrieval, booth essentials, catering, packing, and shipping, and marketing and outreach for events.

  • Track fiscal activities associated with each event.

  • Prepare post-event expenditure and outcomes reporting to track ROI and inform future event strategy.

  • Consistently exceed the annual goal of 30+ successful events per year, while identifying opportunities to scale further.

Marketing & Brand Presence
  • Develop marketing assets and social media content that support event promotion and brand visibility within the clinical/residency community.

  • Partner with the marketing team on copywriting, scripting, and editing for recruitment and brand campaigns.

Cross-Functional Recruitment Support
  • Partner closely with clinical leadership and the National Residency Team to align event strategy with recruitment goals and generate high-quality psychiatrist and APP candidates.

  • Apply recruiter-level knowledge to build lasting candidate relationships, guiding residents and fellows through interviewing, contracting, and onboarding, and remaining a point of contact for ongoing support.

  • Source and support outreach for psychiatry residency and fellowship program educational and outreach events.

Flexible, Company-Wide Support
  • Flex across departments during periods of high demand, assisting with company-wide marketing, job board management, invoicing, and contract renewals.

  • Maintain continuous communication with vendor representatives and recruitment management teams to ensure alignment.

Role Requirements:
  • Bachelor's degree in marketing, Communications, Business, Human Resources, or a related field required, or commensurate experience.

  • Minimum of 6-8 years of experience in talent attraction, with at least 2 of those years spent in trainee outreach (e.g., residency/fellowship, early-career, or campus recruiting), healthcare, physician recruitment, or clinical/medical education experience strongly preferred.

  • Proficiency with applicant tracking systems (ATS), CRM/database tools, and standard office software (Microsoft Office / Google Workspace).

  • Ability to travel up to 30% of the time, including overnight and multi-day trips to conferences and residency/fellowship programs nationwide.

  • Availability to work occasional evenings and weekends to support events.

You'll Be Successful If You:
  • Have a proven track record in physician and/or APP recruitment, ideally within psychiatry, behavioral health, or a related clinical field, and enjoy building and maintaining relationships with physicians.

  • Have demonstrated success in strategic event design and management, including budget ownership and vendor/contract negotiation.

  • Have experience building relationships with clinical stakeholders- residents, fellows, program directors, faculty, and clinical leadership, ideally within psychiatry residency or fellowship programs.

  • Are proficient with talent acquisition platforms like LinkedIn, PracticeMatch, other job boards, and applicant tracking systems.

  • Have a proven track record of delivering data-driven insights and translating those into recommendations.

  • Have strong project management skills; able to juggle multiple events, timelines, and stakeholders simultaneously, and multitask under deadlines.

  • Have a high level of attention to detail.

  • Are marketing-fluent; comfortable with social media, content development, and campaign copy.

  • Have excellent communication and presentation skills, with the confidence to represent the organization at conferences and tradeshows.

  • Have excellent interpersonal skills, with the ability to develop productive working relationships across a diverse spectrum of internal and external stakeholders, exhibit sensitivity, and appreciate cultural differences.

  • Claim ownership and responsibility on projects to achieve your goals; you take initiative.

  • Are a confident problem solver who can act decisively and calmly, and who is resourceful, creative, and flexible when priorities shift in a fast-paced environment.

  • Are willing and able to travel frequently (regional/national).

  • Prior recruiting experience strongly preferred ; a background as a clinical or physician recruiter is a significant plus.
