About The Role

We are seeking an experienced Senior Marketing Coordinator to support marketing and business development efforts across Rincon's environmental consulting practice. This role is ideal for an experienced AEC marketing professional who enjoys coordinating and producing high-quality proposals, collaborating with technical experts, and managing multiple priorities in a fast-paced, deadline-driven environment.

Working closely with Proposal Managers, Principals, Project Managers, and technical staff, you will coordinate proposal development, support business development initiatives, and produce compelling marketing materials that position Rincon for success across transportation, energy, water, infrastructure, private development, and government markets.

This role may offer a hybrid work setup, blending time in the office with remote work as business needs evolve. We enjoy coming together in person to collaborate, connect with teammates, and partner with clients, and may prioritize candidates who live within 50 miles of a Rincon office. Eligible office locations for this role include Carlsbad, Fresno, Los Angeles, Monterey, Oakland, Palm Springs, Riverside, Sacramento, San Luis Obispo, San Diego, San Jose, Santa Barbara, and Ventura.  Please note: While this role's location is listed as a single location, we encourage you to apply if you reside in or near any of the CA locations listed above.

What You'll Do
  • Coordinate the development and production of proposals, SOQs, interview presentations, and other marketing deliverables from kickoff through submission.
  • Collaborate with Proposal Managers, Principals, Project Managers, and technical staff to gather information, develop proposal content, and produce compelling pursuit materials.
  • Schedule and coordinate proposal kickoff meetings, track deliverables, and help keep proposal teams organized and on schedule.
  • Write, edit, proofread, and format proposal content while ensuring compliance with solicitation requirements, consistency, and adherence to Rincon's brand standards.
  • Develop and maintain proposal resources, resumes, project descriptions, and marketing content libraries.
  • Produce polished proposals and presentations using Adobe InDesign, Microsoft Word, and PowerPoint.
  • Maintain CRM databases and pursuit tracking information, ensuring marketing assets remain current and accurate.
  • Support interview preparation, award submissions, conference materials, and other business development and marketing initiatives.
  • Build strong working relationships across multidisciplinary teams while providing responsive, collaborative support throughout the proposal process.
  • Share knowledge and best practices with junior marketing team members and contribute to continuous process improvements.
What You'll Bring
  • Bachelor's degree in Marketing, Communications, English, Graphic Design, or a related field.
  • 4–6 years of AEC marketing or proposal coordination experience.
  • Experience coordinating proposals, SOQs, and interview presentations with minimal supervision in a deadline-driven environment.
  • Experience collaborating with Principals, Project Managers, and technical staff to develop proposal content and meet pursuit deadlines.
  • Advanced proficiency in Adobe InDesign and Microsoft Office Suite (Word, PowerPoint, Excel).
  • Experience with CRM platforms such as Microsoft Dynamics, Deltek Vision, Cosential, or similar systems.
  • Strong writing, editing, organization, and project coordination skills with exceptional attention to detail.
  • Familiarity with public procurement processes, including RFPs, RFQs, and SOQs.
  • Ability to manage multiple concurrent pursuits while maintaining exceptional quality, organization, and responsiveness.
  • Demonstrates a collaborative, solutions-oriented mindset with a willingness to adapt and continuously improve marketing processes.
  • SMPS membership or CPSM certification is a plus.

Investing in You
The base salary range for this full-time position is $75,000 - $85,000, plus a generous benefits program. Salary ranges are based on the market median of similar jobs, according to third-party salary benchmark surveys. Base pay is determined based on internal equity and a candidate’s job-related knowledge, skills, and experience.

Additional Employment Information
Individuals offered employment must successfully complete a pre-employment drug screening as a condition of employment.
