Senior Associate, Workforce Systems

The Senior Associate, Workforce Systems plays a critical role in supporting the delivery, testing, training, and day-to-day operations of the Workforce Management systems for LA28. Reporting directly to the Head of Games Time Workforce Systems & Planning, this role works closely with other teams within the Workforce team, as well as supporting functional areas across the organization to ensure systems are effectively implemented, documented, and supported throughout the workforce lifecycle. 

The Senior Associate will support high-volume system usage, assist in testing cycles, deliver training, and provide hands-on support to users across the organization.  

This is an exciting opportunity for a motivated and detail-oriented individual to gain exposure to large-scale systems delivery in a Games environment, while contributing directly to the successful planning and delivery of the Olympic and Paralympic Games.

Key Responsibilities:

Process Development and System Testing 

  • Support the Games Planning and Delivery workstream in developing, documenting, and refining business processes
  • Build and maintain accurate and up-to-date system specification, configuration, and process documentation
  • Support the execution of User Acceptance Testing (UAT) across Workforce system modules, including preparation of test cases, scripts, data sets, and defect logs
  • Assist with system configuration activities, testing windows, and deployment planning
  • Validate system functionality against defined business processes and user requirements 
  • Log, track, and help prioritize system defects, working closely with the Manager and Technology teams to support resolution 
  • Support regression testing and re-testing activities to ensure system stability
  • Provide updates and reporting on system readiness, risks, and issues 

Training and User Support 

  • Assist in the delivery of training sessions to workforce systems users, including walk-throughs, onboarding sessions, and refresher training
  • Develop and maintain training materials and user documentation, including job aids and procedural guidance, translating system functionality into user-friendly guidance for non-technical audiences
  • Provide day-to-day user support, including troubleshooting issues and responding to queries
  • Act as a key point of contact and provide hands-on support to users during system rollouts and peak usage periods
  • Support “Train-the-Trainer” initiatives where required
  • Assist with report development and user reporting needs
  • Promote data quality, data integrity, compliance, appropriate system usage, and best practices across the Workforce user community 

 System Operations and Support 

  • Assist with system administration tasks (e.g., user setup, permissions, basic configuration updates)
  • Assist in monitoring system performance and usability, identifying areas for improvement  

Cross-Functional Collaboration 

  • Foster positive, open, and collaborative relationships with key internal and external stakeholders
  • Work closely with the Workforce and Technology teams to support system delivery
  • Partner with Workforce functional areas to understand user needs and provide support 
  • Build strong working relationships with stakeholders to support adoption and effective system use
  • Contribute to a collaborative and solutions-focused team environment
Background & Requirements:
  • Minimum 4+ years hands-on experience with Workforce Games Management Systems, Volunteer Application Systems, or equivalent large-scale platforms
  • Experience supporting system configuration, testing, and implementation within a structured project environment
  • Strong stakeholder coordination and communication skills with the ability to work effectively across diverse technical and non-technical teams
  • Strong documentation, testing, and data analysis skills
  • Bachelor’s degree in a relevant field (e.g., Information Systems, Business, HR, Project Management) or equivalent experience 
Expectations:
  • Detail-oriented with strong project and time management skills and the ability to manage and prioritize workload in a fast-paced and evolving environment
  • Excellent analytical skills; capable of identifying and prioritizing issues, assessing levels of risk, and providing creative and pragmatic solutions
  • Absolute discretion and high level of professionalism when dealing with high volumes of confidential, personal and/or sensitive data
  • Working knowledge of the Software Development Life Cycle (SDLC) and common project delivery methodologies
  • Excellent communication and presentation skills, with the ability to develop and deliver technology training solutions/ tools
  • Positive, team-oriented, and collaborative attitude with ability to build relationships with a variety of people 
Physical Requirements and Working Conditions:
  • Ability to work on-site in an open office environment, based in Los Angeles, CA
  • The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment
  • Hours of work may vary, including evenings, weekends, and holidays, especially during peak event periods
  • Perform other duties as required; the role will evolve over time and may include operational responsibilities during the Olympic and Paralympic Games. 

The annual base salary range for this position is $73,000 - $98,000. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
