Job Summary & Responsibilities

General Purpose

Provide administrative and operational support directly to a sales team to assist in achieving sales targets. Collaborate with the sales team to ensure the timely and accurate processing of sales-related tasks. Coordinate activities between the sales representatives, customers, and various internal departments. Support the successful implementation of new accounts and ongoing account service to customers. Handle a wide variety of sales support activities as a result of full understanding of sales process and operational knowledge. Function as a go-to resource and provide assistance to team members. Monitor, and coordinate inventory status reports and proactively approach supply shortages, stock outs, and communicate accordingly cross functional management team.

Job Duties and Responsibilities

  • Collaborate with demand, supply and production planners on inventory availability for customer orders
  • Develop action plans to resolve excess and “stranded” inventory levels working closely with sales, finance, and other planning teams to mitigate financial impacts
  • Analyze and prevent aging inventory of finished goods
  • Prepare and document all quote, proposal, submission, or contract information as directed in designated system, ensuring information is properly updated to reflect all account activity
  • Perform required follow ups to ensure timely completion of quotes and delivery of proposals
  • Remarket renewals, contact customers, create renewal proposals, and handle other renewal activities in coordination with sales
  • Complete all necessary paperwork, ensuring proper signatures, and provide completed paperwork to appropriate group within established timeframes
  • Maintain organized records of leads, sales activities, customer interactions (inbound or outbound), and communications in designated system, ensuring information is accurate, comprehensive, and up to date
  • Liaise with other departments or escalate to supervisor to address customer concerns and ensure effective problem resolution
  • Create sales reports (customer inquiries, sales trends, customer complaints, delivery or service problems, reasons for product returns, etc.), forecasts, and performance analyses for the sales team
  • Maintain updated knowledge of the company's products and services to address customer inquiries effectively
  • Coordinate activities with the sales organization, facilitating the sales planning process to achieve agreed upon business goals.
  • Develop demand plans for various segments of the business
  • Provide accurate forecasts that maximize customer satisfaction, meet sales goals, and allow for cost-effective distribution. Actively and clearly communicate with the sales team and strategic accounts to validate current forecast and report any deviations. Provide forecasts of anticipated demand for new and/or proposed new products, working with sales and marketing as appropriate
  • Support team with management of forecasting tools and financial systems
  • Recommend procedures, work instructions, and metrics. Use a collaborative approach to obtain buy-in on forecasts and demand plans
  • Produce and/or develop reporting as required by business
  • Track and reconcile metrics versus established target

Preferred Qualifications

Education and Experience

  • Undergraduate degree or equivalent combination of education and practical work experience
  • 2 to 5 years related experience

Knowledge, Skills, and Abilities

  • Proficient knowledge of and skill with Microsoft Office Suite and company computer systems
  • Understanding of production capacities, constraints, and cost/service trade-offs
  • Skill in analytical thinking and problem solving
  • Able to communicate clearly and effectively, both verbally and in writing, for a diverse range of internal and external audiences
  • Able to elicit cooperation from variety of sources, including management, production planning, quality teams, logistics, procurement, etc.
  • Able to handle challenging or conflict situations with tact and professionalism
  • Able to prioritize and meet deadlines
  • Able to manage multiple various projects with sense of urgency
  • Able to work collaboratively with employees in a variety of departments
  • Able to organize time, energy, and resources effectively to achieve goals (organizational skills)
  • Able to consider both strategic and practical implications for proposed course of action
  • Must be able to read, write and speak English
