Responsibilities:
- Maintain up-to-date and accurate inventory records, ensuring timely and efficient stocking of vehicles as they arrive from production.
- Manage the stocking and tracking of incoming vehicles, including sending out Pre-Delivery Inspection (PDI) emails, organizing associated documentation, and ensuring proper handling of vehicle keys.
- Stock in purchased units such as auction vehicles and update trade-in units in the inventory system.
- Manage Dealer Trade paperwork, ensuring all necessary documentation is completed accurately and efficiently.
- Submit Bills of Lading (BOL) for new and used cars to the business office in a timely and precise manner.
- Track special order vehicles and keep order folders organized, and spreadsheets updated to facilitate smooth operations.
- Track sales incentive) for Sales Associates and maintain records of vehicles sold per Sales Associate.
- Provide general administrative assistance to Sales Managers, supporting their work and contributing to the sales department's success.
- Provide regular updates to the Sales Team on incoming and outgoing vehicles, special orders, and inventory changes.
- Contribute to a positive customer experience by supporting the Sales Team in delivering exceptional service.
- Perform all other duties and special projects as assigned

Requirements
- 2-4 years’ experience in administrative services or related fields
- Experience in a dealership or a similar environment is a plus
- Proficient in various desktop tools including MS Office Programs
- Familiarity or aptitude to learn sales processes, vehicle inventory, and systems management
- Proactive, organized approach to multitasking and prioritization
- Demonstrates attention to detail and commitment to doing quality work
