General Description:

We are looking for a high performing Executive Assistant to support the Northwest SVP. You will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the executive. The ideal candidate is deeply organized, proactive, and capable of managing complex logistics while maintaining absolute professional discretion and judgment. The Executive Assistant will be required to demonstrate exceptional written and verbal communication skills with a refined, strong, professional demeanor.

Roles and Responsibilities:
  • Strategic Planning: Partner with the West leader to define regional objectives, track key performance indicators, and execute high-priority goals

  • Calendar & Time Management: Organize, prioritize, and manage the executive's complex, shifting calendar. Troubleshoot scheduling conflicts proactively and protect the executive's time for core strategic initiatives.

  • Communication & Gatekeeping: Serve as the primary liaison between the executive and employees, clients, and external partners. Filter emails, answer phone calls, and direct correspondence appropriately.

  • Meeting & Event Coordination: Manage meeting cadences, prepare executive meeting materials, agendas, presentations, and background research. Attend strategic meetings to take concise minutes and track action items.

  • Cross-Functional Coordination: Act as a bridge between the leadership team and staff, solving unowned problems and bridging operational gaps.

  • Communications: Draft key internal memos, presentations, briefs, and talking points on behalf of or to prepare the executive.

  • Report Preparation: Compile and draft itemized expense reports using platforms like Excel and Expensify.

  • Special Projects: Assist with or independently manage cross-functional projects by coordinating resources and tracking milestones.

Required Experience:
  • Experience: 5+ years of experience as an executive assistant, administrative assistant, or a similar high-level support role.

  • Communication: Exceptional written and verbal communication skills with a refined professional demeanor.

  • Technical Savvy: High proficiency with office productivity platforms, Google Workspace, alongside communication tools like Slack and Zoom. Experience with CRM tools like Salesforce is a plus.

  • Organization & Agility: Strong multi-tasking skills with the ability to pivot quickly in a fast-paced, fluid business environment

  • Discretion: Proven ability to handle highly confidential, sensitive corporate and personal information with utmost integrity.

Travel Requirements:
  • Up to 30% travel

Physical Requirements:
  • Sedentary work

  • Substantial movement of the wrists, hands, and/or fingers for a minimum of 8 hours a day

  • Required to have close visual acuity to view computer terminal and/or extensive reading for a minimum of 8 hours a day
