Job Summary

The Record Label Operations Manager oversees and coordinates the day-to-day operational, contractual, and financial workflows of the record label. This role ensures that all releases, artist agreements, publishing matters, royalty inputs, and deal-related obligations are accurately captured, tracked, and executed. The ideal candidate has hands-on experience in label operations, contract administration, recoupment accounting, publishing support, and release logistics—and acts as the organizational backbone for the label owner by keeping all business activities organized, compliant, and optimized.


Responsibilities

Contract Intake & Deal Term Administration

  • Review artist, producer, distribution, and publishing agreements to identify key business terms, financial obligations, delivery requirements, and option periods
  • Summarize deal terms for internal stakeholders; maintain accurate internal documentation and contract trackers
  • Coordinate with internal or external legal counsel for any questions related to legal interpretation or drafting

Contract Execution & Internal Setup

  • Manage routing, signature processes, and secure filing of fully executed agreements
  • Input deal terms into internal systems (royalties, metadata, publishing, project management tools) to support downstream accuracy

Financial Operations & Recoupment Tracking

  • Track advances, budgets, recoupable expenses, and deal-specific financial terms
  • Partner with Finance/Royalties to ensure accurate royalty ingestion, recoupment updates, and artist statement preparation
  • Monitor financial milestones, delivery obligations, and trigger points across artist contracts

Publishing Administration

  • Support registration of works, split confirmation, metadata delivery, and catalog updates
  • Coordinate with PROs, publishers, and collection societies as needed
  • Maintain accurate records of publishing-related obligations and rights management

Release Operations & Asset Delivery

  • Oversee release logistics including metadata submission, International Standard Recording Code and Universal Product Code (ISRC/UPC) assignments, delivery to distributors, and asset quality control
  • Ensure internal teams (A&R, marketing, finance) have accurate release information and deadlines

Contract Lifecycle & Amendment Tracking

  • Maintain calendars for expirations, options, reversion dates, delivery deadlines, and amendment requirements
  • Update internal stakeholders on key contract milestones

Communication & Cross-Team Coordination

  • Serve as a central point of coordination between A&R, Legal, Publishing, Marketing, Royalties, and external partners
  • Provide timely updates and maintain transparent project documentation

Compliance & Quality Control

  • Ensure that contract terms, metadata, and financial inputs are accurately reflected in internal systems
  • Maintain organized records and support audit-readiness (internal and external)

Qualifications 

  • 3+ years in music industry operations, label administration, business affairs support, royalties, or publishing administration
  • Prior experience supporting a record label, distributor, publisher, Performing Rights Organization (PRO) such as ASCAP, BMI, SESAC, GMR, or SOCAN, or rights management environment strongly preferred
  • Strong understanding of recording and distribution agreements. Publishing Administration, co-pub, admin deals, and split structures
  • Strong understanding of Royalty Accounting concepts and Recoupment Models
  • Ability to review agreements to extract key business terms (financial, rights, delivery obligations) and communicate them clearly to operational teams
  • Exceptional organizational skills and a detail-driven approach to data, documentation, and deadlines
  • Strong written and verbal communication skills
  • Proficiency with spreadsheets, royalty systems, contract databases, and metadata tools


Pay Scale

  • $85,000 - $100,000 per year
  • The final compensation within this range will be determined based on the candidate’s experience, skills, and overall fit for the role.
