We are looking for an exceptional Operations Associate to support our Senior Project Manager 

You will work in a leadership capacity and will oversee various functions including executive support, managing and updating documents, and will assist with PR. The Ops Associate will also be responsible for being able to back up all duties that the Operations Assistant currently performs. 

This person will be extremely collaborative, organized, detail oriented, and will collaborate with cross-functional teammates to achieve results.

QUALIFICATIONS:

  • 3+ years of experience working in a project management/ executive assistant/ office management role
  • Superb written and oral communication skills
  • Excellent organizational skills, strong attention to detail, ability and flexibility to handle new tasks and shifting deadlines and effective multi-tasking abilities
  • Excellent interpersonal skills, tact and discretion, and professional demeanor when interacting with diverse audiences
  • Proficiency in Google Suite products (Calendar, Docs, Sheets, Slides, etc.)
  • Executive Assistant experience is a plus 
  • Experience with Project Management software is a plus: Hive, Jira, basecamp, etc. 
  • Enthusiastic and proactive approach to solving problems
  • Capability to thrive in a fast-paced, multifaceted environment
  • Creativity: Strong intellectual curiosity, ability to “think out of the box”
  • Ability to carry out projects with multiple stakeholders, and time sensitive deadlines
  • Time management: Effectively manage workload by prioritizing and managing multiple assignments
  • Team Player: Strong interpersonal skills and ability to interact effectively at all levels of the organization
  • Flexibility: Ability to thrive in a fast-paced, entrepreneurial environment with constant change and learning on the fly



Responsibilities:

  • Assists planning events, meetings, administrative tasks and leading special projects.
  • Assist the the Operations Department Assistant with:
    • Managing Executive Calendars
    • Organization Chart
    • Operations Calendar
    • Operations Playbook
  • Assist with Scale PR with outsourced team
    • Manage relationships with external partners
    • Executive Professional Bios
    • Press Releases
    • Business Award Applications
    • Social Media Accounts
  • Assist with Onboarding New Employees
  • Help Create SOP’s for Operations Department and other departments as needed
  • Other Duties as Assigned
