The Project Manager/Producer is responsible for leading experiential production for medium to small events and supporting the Associate Director, Production on Retreats and Rallies as needed. S/he will work to create timelines, manage daily deliverables, and coordinate internal and external resources across departments, to ensure flawless execution of experiential projects, and other brand partnership campaigns. 

Experiential Responsibilities

  • Lead event production of medium to small events such as workshops, meet-ups and dinners
  • Manage budget and P&L for events 
  • Source, negotiate, book, and manage event venues and vendors, including but not limited to decor, fabrication, staffing, catering, audio/video, etc.
  • Oversee additional one-off event planning and execution, in partnership with marketing and brand strategy teams as needed 
  • Assist in managing internal resources for all production elements, such as editorial and design
  • Track daily tasks within project management tool Asana, ensuring timely completion 
  • Function as right-hand to Associate Director, Production as needed for Retreats and Rallies
  • Assist programming team and production partner to organize materials for Retreat activities
  • Help coordinate creation of Rally and Retreat website elements, including ticketing platform
  • Coordinate with external merchandise vendors for ordering and delivery logistics

Brand Partnerships Responsibilities

  • Manage the execution of specific brand partner campaigns and programs, including: Developing detailed partner project timelines, involving all relevant stakeholders and ensuring creative, editorial and technical feasibility cross-functionally and across departments, Coordinating internal resources and third parties for the flawless execution of projects, Coordinating delivery of creative content for brand approval with Brand Strategists, Tracking projects via project management tool Asana to ensure deadlines are met 
  • Establish and maintain relationships with third parties/vendors
  • Create and maintain comprehensive project documentation 
  • Track allocated branded inventory

Requirements

  • B.A. or B.S.; Minimum 3 years proven working experience as a project manager or producer in a digitally driven creative, publisher, or production related sector 
  • Extensive experience in working in collaborative sales and marketing processes, including the interaction and strategy required in an advertising sales environment and has strong propensity working across varying departments, teams, and personalities
  • Strong account & situational management experience 
  • Ability to anticipate needs and multi-task in a fast-paced environment with a calming presence 
  • Understanding or hands-on experience in creative agency/publisher driven content creation 
  • Strong understanding of experiential planning and hard production costs
  • Excellent partner-facing and internal communication skills 
  • Solid organizational skills including attention to detail and multi-tasking skills 
  • Strong working knowledge of Microsoft Office, Keynote, Google SuiteProficient experience within Project Management Tools: Slack, Asana or other PM platform
  • Nimble and flexible to succeed in a fast-paced environment and handle ad hoc requests 
  • Detail oriented, strategic thinker who has an innate sense of urgency, and is able to manage multiple projects at any given time
