We are currently seeking a Project Coordinator to join our team in Los Angeles. The Project Coordinator provides administrative support and assistance with the day-to-day management duties of the activities on the project(s) assigned.

CORE RESPONSIBILITIES:

  • PROJECT MANAGEMENT BY PHASE
  • Entitlements & Permitting: Assists in entitlements/permitting activities when requested by Development Lead. Coordinates consultant preparation of plan check submittal documents, applications, payments, letters of authorization, and owner-builder declaration forms. Submits documents to relevant governmental agencies, retrieves plan check comments, obtains department clearances on clearance summary worksheet.
  • Construction Oversight: Attends meetings and tours on site as requested by Development Lead and provides support as needed.
  •  Feasibility & Due Diligence: Assists in feasibility and due diligence activities when requested by Development Lead.
  • Sales & Marketing: Attends and participates in sales and marketing meetings when requested by Development Lead.

  • PROJECT PERFORMANCE OVERSIGHT
  • Reporting: Assists in providing reports related to project status to Development Lead, Investments Deal Team and other stakeholders. Assists in tracking and reporting project status to investors, lenders, joint ventures, quasi-public partnerships, etc.
  •  Budget Oversight: Assists with project budget tracking as requested by Development Lead.
  •  Schedule Oversight: Reads and interprets basic project schedules. Assists in tracking deadlines and progress and reports to senior development team members.

  •  DOCUMENT ORGANIZATION
  • Project Documents: Sets-up, uploads, shares and maintains project and/or management files according to established criteria, if not done by 3rd-party.
  •  Invoicing: Sets up vendors, confirms insurance, verifies a compliance with contract, tracks invoices to ensure on-time payment and/or up-to-date communication regarding payment with vendor.
  •  Buyout: Sends Request for Proposals to potential bidders and communicates with them throughout the bidding process.
  • Contract Negotiation: Coordinates the processing of new contracts with Contract Coordinators by ensuring vendor and insurance approvals are in place and there is sufficient budget prior to contract being coded and uploaded to the accounting system.

  • Internal Relations: Responds to common inquiries or correspondence from development team, other department members (Investments, Accounting, etc.). "Manages up" well.
  •  External Relations: Responds to common inquiries or correspondence from members of the business community with oversight from Development Lead.
  •  Reading & Comprehension: Analyzes and interprets technical materials, financial reports, legal documents and memos and shares important details with Development Lead.
  •  Correspondence: Writes correspondence and reports, records and distributes meeting minutes of calls/meetings requiring actions by attendees.
  •  Teamwork: Works well within development team, other CIM departments and with 3rd parties.
  •  Direction Setting: Shares team goals and objectives with the team.
  •  Accountability: Takes some responsibility for own actions as related to team decisions and performance and makes personal adjustments when necessary.
  •  Problem Solving: Defines problems, collects data, establishes facts and draws valid conclusions. Solves problems when necessary. Thinks critically and creatively.
  •  Carry Out Instruction: Applies common-sense understanding to carry out instructions from Development Lead and other departments when appropriate. Demonstrates self-awareness. Takes initiative in asking questions. Learns on the job.
  •  Adaptability: Displays a positive attitude when faced with challenges or changes.
  •  Critical Thinking: Identifies basic questions, problems and assumptions related to business situations.
  •  Strategic: Identifies basic questions, problems and assumptions related to business situations.
  •  Project Management: Schedules meetings, calls, accepts and/or declines and/or reschedules meetings for project staff members and sends out meeting requests on behalf of the Project Lead.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Experience with Microsoft Office including Outlook, Word, Excel, Project, Powerpoint required.
  • Demonstrates proficiency with document management/storage software.
  • Experience with accounts payable software such as Yardi, Ebix desirable.
  • Experience with office equipment such as printers, copiers, scanners.

  • Peer-to-peer/co-worker/direct report satisfaction
  • Compliance with company and departmental policies and procedures

Actual base salary considers several factors, including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required. At CIM, base pay is one part of the total compensation package. This role is eligible for bonus pay in addition to base salary. The anticipated base salary range for the position in Los Angeles, CA, is $65,000 - $85,000
