Summary of Position:

The Project Coordinator plays a critical support role within the Project Management team, acting as the operational backbone that keeps projects organized, informed, and moving forward. This role is designed to relieve Project Managers of day‑to‑day administrative and coordination tasks so they can focus on strategy, client relationships, scope, and financial oversight.

The Project Coordinator is detail‑oriented, proactive, and highly organized, with the ability to manage multiple workflows at once while maintaining clear communication across internal teams, vendors, and onsite crews.

This is a hands‑on role embedded deeply in the production process — from early planning through fabrication, install, and close‑out.

Responsibilities:

Project Administration & Organization
  • Create, manage, and maintain all project documentation and file structures (Box, shared drives, project folders).
  • Prepare and distribute production packets containing drawings, schedules, fabrication details, print grids, and site information.
  • Track and update project data including schedules, work-back plans, labor tracking, and key milestones.
  • Take meeting notes and distribute action items following internal and external meetings.
Scheduling & Coordination
  • Build and maintain detailed work-back schedules in coordination with Project Managers and shop leadership.
  • Create, update, and manage fabrication, print, and install grids.
  • Coordinate internal deadlines between project management, design, fabrication, print, and scenic teams.
  • Schedule travel, lodging, and transportation for onsite project teams as required.
Production & Operations Support
  • Support Project Managers during fabrication and production phases by tracking deliverables, dependencies, and approvals.
  • Assist with vendor coordination, including outreach, documentation collection, and scheduling support.
  • Monitor project progress and flag potential schedule or resource conflicts early.
  • Support onsite installs as needed, including pre-production preparation and field coordination.
Communication & Team Support
  • Serve as a central point of communication between Project Managers, internal teams, and external partners.
  • Translate project information into clear, actionable details for shop and field teams.
  • Maintain a high level of professionalism and responsiveness in all internal and external communications.

Requirements:

  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple projects and priorities simultaneously in a fast paced environment.
  • Excellent written and verbal communication skills.
  • Solid working knowledge of Microsoft Office and cloud based file systems.
  • Strong problem solving and analytical abilities.
  • Ability to understand and communicate custom fabrication terminology and workflows.
  • Team oriented mindset with a service driven approach.
  • Experience in custom fabrication, scenic production, events, or experiential marketing preferred.
  • Time Management: Effectively balances competing priorities and deadlines.
  • Execution Focus: Proactively follows tasks through to completion.
  • Adaptability: Comfortable working in dynamic shop, office, and onsite environments.
  • Communication: Clear, concise, and respectful across all levels of the organization.

Work Environment:

  • Some areas of the job site may be hazardous so protective gear should be worn when appropriate
  • Shift may vary from day to evenings.
  • Weekend hours will be required.
  • Standard 40-hour workweek applies, though overtime may be necessary.

Location: The Treehouse warehouse is located in Los Angeles and this employee must report onsite 5-days a week.

Salary Estimation: [$22.00 - $26.00 per hour]

This is a non-exempt role eligible for OT in accordance with local law. Treehouse intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented hourly range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.
