The Southern California Clinical and Translational Science Institute (SC CTSI) is a research organization at the University of Southern California (USC) and Children’s’ Hospital Los Angeles (CHLA).  Our mission is to support, promote and accelerate scientific discoveries and their application in real-life settings to improve health in diverse populations. The Clinical Research Informatics (CRI) is a core group at SC CTSI that provides expertise and support for clinical research data integration, data sharing and data security to help drive the integration of clinical care and clinical research

Summary

The Program Specialist provides project management, customer service, and administrative support for SC CTSI’s Clinical Research Informatics (CRI) program. Assists with calendar management, data request delivery, service desk management, and program policy development and implementation.

Key Responsibilities:

Project/Program Management

  • Assists in the administration and coordination of various research and/or administrative projects and provides quality control.
  • Serves as a resource for program information.
  • Assists in developing and implementing program goals, policies, and strategies.
  • Assists with short and long-term planning and design of project direction and objectives.
  • Participates in updating relevant program materials on various electronic web-based platforms: websites, intranets, Wikis, etc.
  • Develops marketing and program materials such as guides, PowerPoints, training aids, etc.
  • Attends and leads meetings with stakeholders, prepares agenda, takes meeting minutes, and follows up on action items as assigned.
  • Evaluates effectiveness of project direction, schedules, activities, etc.
  • Recommends and implements workflow modifications as necessary to ensure the achievement of project/data delivery goals and objectives.

Customer Service & Data Delivery

  • Lead the data acquisition process by working as a resource between the study team and data team.
  • Develop a deep understanding of EMR data as well as the compliance policies for use and handling of such data for research and non-research purposes.
  • Provides CRI-related customer service to students, faculty, staff, and external customers.
  • Performs research and offers solutions, options, and strategies.
  • Gathers data as necessary, refers to the appropriate person or department as needed, and/or arranges for service.
  • Develops expertise in the various tools/services provided by the CRI core such as REDCap, OpenSpecimen and the data discover tools.
  • Develops and leads regular training sessions for users.
  • Helps develop, drive, and track the audit processes for data delivery.
  • Updates various ticketing and project management systems on a consistent basis.
  • Support quality metrics for research and program operations.
  • Responsible for the billing process of the recharge core.
  • Responsible for issuing computer accounts as well application specific accounts.
  • Manage the incoming support requests and tickets for the program services.

Administrative Support

  • Supports CTSI central administrative functions such as planning, organizing, coordinating, scheduling, and implementing program/project meetings and activities.
  • Ad Hoc calendar support for program leadership.
  • Attends CRI meetings as assigned. Prepares agendas, gathers and organizes supporting information, and assists in producing and distributing related materials.
  • Participates in the development and production of documents and reports for the program.
  • Responsible for maintaining an exceptional level of quality for administrative services provided.
  • Assists in developing, updating, and distributing department administrative policies and procedures as necessary within the collective area.
  • Other duties as assigned.

The hourly rate range for this position is $32.43 - $36.05. When extending an offer of
employment, the University of Southern California considers factors such as (but not limited
to) the scope and responsibilities of the position, the candidate’s work experience,
education/training, key skills, internal peer equity, federal, state, and local laws, contractual
stipulations, grant funding, as well as external market and organizational considerations.

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education
Minimum Experience: 2 years
Minimum Field of Expertise: Directly related professional experience in program specialization, e.g., counseling or teaching.
