People Services & Executive Support Coordinator

Location: Los Angeles, CA (100% Onsite)
Compensation: $70,000 – $80,000 annually (depending on experience) + BONUS

About the Role

SprintRay is looking for a proactive, energetic, and highly organized People Services & Executive Support Coordinator to help keep our Los Angeles headquarters running smoothly while creating a welcoming and engaging experience for our employees, visitors, and leadership team.

This is a hands-on, people-facing role for someone who loves organizing events, bringing people together, solving problems, and making things happen.

You'll be an important part of our People Services team, helping coordinate employee activities, company events, office operations, and special projects. You'll also provide day-to-day administrative and logistical support to our executive leadership team.

No two days will look exactly the same. One day you might be planning an employee appreciation event, coordinating an executive retreat, or organizing a company lunch. The next, you could be welcoming visitors, preparing for a leadership meeting, coordinating travel, helping a new employee get settled, or working with vendors to resolve an office issue.

We're looking for someone who sees what needs to be done and takes ownership without waiting to be asked. Someone who genuinely enjoys helping people, thrives in a fast-paced environment, and isn't afraid to roll up their sleeves.

This is not a traditional HR position or a calendar-only Executive Assistant role. It's an opportunity to make a visible impact on the employee experience and daily operations of a growing company.

What You'll DoEmployee Experience & Events
  • Plan, organize, and execute employee engagement activities, appreciation events, company lunches, celebrations, and team-building activities.

  • Coordinate larger company events, including Founder's Day, holiday celebrations, leadership meetings, and executive retreats.

  • Own event logistics from start to finish, including scheduling, catering, vendors, supplies, communications, setup, and cleanup.

  • Partner with People Services to create a positive, welcoming, and engaging workplace experience.

  • Help coordinate employee recognition initiatives, milestones, and special celebrations.

  • Identify opportunities to improve the employee experience and bring new ideas to the team.

Office Coordination & Front Desk
  • Serve as a welcoming, professional first point of contact for employees, candidates, customers, executives, and VIP visitors.

  • Maintain a consistent onsite presence at the front desk and help ensure the office is organized, welcoming, and ready for business.

  • Coordinate conference rooms, visitor arrivals, meetings, deliveries, and daily office needs.

  • Help manage office supplies, kitchen inventory, snacks, catering, and common areas.

  • Work with facilities, IT, and outside vendors to coordinate office repairs, services, and improvements.

  • Assist with office setup, furniture moves, event preparation, and other hands-on tasks as needed.

  • Identify and address office needs proactively rather than waiting for someone to report a problem.

Executive & Administrative Support
  • Provide administrative and logistical support to SprintRay's executive leadership team.

  • Coordinate meetings, calendars, travel arrangements, reservations, and itineraries as needed.

  • Assist with executive meetings, offsites, retreats, presentations, and special requests.

  • Anticipate leadership needs and proactively coordinate details to keep priorities moving.

  • Help manage last-minute changes, scheduling conflicts, and time-sensitive requests.

  • Support cross-functional projects and follow through on action items to ensure completion.

People Services & Project Coordination
  • Support new hire onboarding logistics, including preparing workspaces, coordinating welcome activities, and helping new employees navigate their first days.

  • Assist with employee communications, scheduling, and coordination of People Services initiatives.

  • Help plan and execute company-wide programs, recognition activities, and workplace improvements.

  • Track project timelines, coordinate stakeholders, and follow up on outstanding tasks.

  • Support special projects across People Services, facilities, and executive operations.

  • Look for opportunities to improve processes, organization, and the overall employee experience.

What We're Looking For
  • 2–5+ years of experience in office coordination, workplace experience, employee engagement, event coordination, administrative support, executive support, or a similar role.

  • Demonstrated experience independently coordinating events, meetings, employee activities, or projects involving multiple stakeholders.

  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and follow through on details.

  • Experience supporting managers, senior leaders, or executives with administrative and logistical needs.

  • A warm, outgoing, service-oriented personality with excellent interpersonal and communication skills.

  • A proactive, resourceful approach—you notice what needs attention and take action.

  • Comfortable working in a fast-paced environment where priorities can change quickly.

  • Strong attention to detail and the ability to work independently without constant direction.

  • Comfortable interacting professionally with employees at all levels, customers, executives, and VIP visitors.

  • Proficiency with Microsoft Office, Google Workspace, and common scheduling and collaboration tools.

  • Willingness to handle both high-visibility projects and everyday office tasks with the same level of care.

  • Ability to maintain appropriate discretion and confidentiality.

What Will Make You SuccessfulYou'll thrive in this role if you:
  • Love bringing people together. You genuinely enjoy planning events, creating experiences, and making people feel welcome.

  • Are a natural problem solver. You don't wait for someone to tell you what needs fixing.

  • Are organized and dependable. You can manage several projects simultaneously and follow through without reminders.

  • Enjoy variety. You're equally comfortable coordinating an executive retreat, welcoming a VIP, and restocking the kitchen.

  • Have a hospitality mindset. You take pride in creating a positive experience for everyone who walks through the door.

  • Move quickly and adapt. You stay calm, flexible, and productive when priorities change.

  • Take ownership. You don't just coordinate tasks—you make sure they get done.

Work Environment & Schedule

This position is 100% onsite at our Los Angeles headquarters, five days per week. The role serves as a primary onsite presence for People Services and requires regular availability during business hours.

Occasional flexibility for early mornings, evenings, or after-hours coordination may be necessary to support company events, executive schedules, and international travel.

This is a highly interactive position that involves frequent collaboration with employees, executives, vendors, and visitors.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
