We are seeking an Order Management Specialist to own billing completeness and streamline our quoting and invoicing processes. This role will serve as the Salesforce expert, ensuring data accuracy, automating workflows, and generating SOP’s to assist in cross-training throughout the organization. The ideal candidate is detail-oriented, process-driven, and experienced in SaaS billing operations.
This is a hybrid position working 2x per week in our Irvine, CA office.
Job Duties:
• Review and process weekly billing using Salesforce, Mavenlink (Kantana), and Zendesk.
• Assist with customer tickets within Zendesk, and process the requests downstream in Salesforce and Sage Intacct
• Ensure all professional services, SaaS subscriptions, and go-live fees are billed accurately and on time.
• Manage contract terminations, including reviewing agreements and processing final invoices.
• Handle billing modifications, corrections, and refunds, and collaborating with the AR team.
• Maintain Salesforce data integrity, ensuring billing completeness across systems (Salesforce, Mavenlink, Sage Intacct).
• Develop and automate processes to enhance subscription billing accuracy.
• Create and manage SOPs for sales on proper opportunity quoting.
• Assist in training sessions for the sales team to ensure compliance with billing policies.
Skills and Qualifications:
• Experience with Salesforce is required.
• Experience with Mavenlink (Kantana), Sage Intacct, and Zendesk is preferred.
• 2-4 years of experience in Salesforce administration, billing operations, or revenue accounting.
• Strong understanding of SaaS billing, subscription models, and order-to-cash processes.
• Excellent communication skills and ability to train cross-functional teams.
• Detail-oriented with a process improvement mindset.
