The Opportunity:
We are seeking an organized and detail-oriented Order Management Coordinator to oversee the end-to-end lifecycle of our customer orders. In this role, you will act as the primary liaison between our customers, warehouse operations, and shipping carriers to ensure accurate, timely fulfillment. You will manage incoming orders across multiple channels, including EDI, eCommerce, and manual entries, while maintaining data integrity within our ERP system. The ideal candidate will be proactive in resolving shipping discrepancies, managing compliance requirements, and providing clear order status visibility to both internal teams and clients.
What you will do at VeSync:
- Access customer’s on-line portal to retrieve or update order information
- Process and prepare orders received via EDI, manual, email, or through eCommerce & Marketplace sites
- Route orders using customer’s portal
- Generate UCC, shipping labels, Bill of Lading, and other necessary shipment documents.
- Constant monitoring EDI and eCommerce portal for new orders or any order changes.
- Releasing and confirming successful transmission of orders to the warehouse team including any special or compliance requirements and following up to ensure timely fulfillment, routing, and shipment.
- Daily follow up with carrier for missed pickup and no shows if needed.
- ERP system (manual or automated) entry, validating accuracy of order data, checking order quantities against available allocations, sending required order acknowledgements, billing and invoicing.
- Schedule pickup appointments with carriers as required (USPS, FedEx, UPS, LTL, FTL)
- Manage backorder processing or cancellation of orders.
- Review and analysis of chargeback reports, invoice disputes and resolutions.
- Prepare daily, weekly, and monthly order status reports for internal team and customers.
What you bring to the role:
- Bachelor’s degree in Business Administration or related fields
- 3+ years experience in order management in 3PL industry, warehouse, or distribution environment.
- Experience with ERP, OMS & EDI systems, particularly NetSuite and SPS Commerce
- Retail Compliance knowledge & experience
- Proficient in MS Office suite (Outlook, Word, Excel, Teams), import mapping, and light data analysis.
- Excellent verbal and written communication
- Excellent interpersonal and customer relations skills.
- Leadership and training role experience
- Self-starter, quick learner, detail-oriented, and proactive in completing responsibilities.
Location:
- This is an on-site, office-based role in Tustin, CA.
Salary:
- Starting at $21/hour
