Order Fulfillment Specialist @ Rubrik

We are looking for an Order Fulfillment Specialist to join our expanding Global Order Management team in our Palo Alto, CA Office. An ideal candidate will have a love of technology,  desire to work in a fast paced environment that is continuously evolving as our organization grows. You will need to be a quick learner and quick doer with a desire to embrace new tech & tools with ever changing processes. You will have an attention to detail, be a strong communicator, and be well organized. As an Order Fulfillment Specialist, you’ll need to be passionate about problem solving and have the ability to dissect different challenges to understand a workable solution. 

In this role you will relentlessly partner with Sales, Sales Operations, and Distribution to process sales orders and ensure they are booked accurately. You will collaborate with engineering to ensure licenses are provisioned for our customer’s access. And lastly you will fulfill and ship orders, understanding customer entitlements. This role will be based in our HQ in Palo Alto, CA. 


What you’ll be doing:

  • ‘Relentlessly focus on order booking and on-time-shipment of orders
  • Identify process gaps and recommend solutions to improve operational efficiency
  • Drive communication with internal and external partners
  • Work with Sales, Sales Operations, Channel Ops, IT and Finance teams to resolve issues
  • Order booking in our CRM (SFDC) and fulfillment within our ERP (Netsuite) 
  • Analyze data, build reports and identify problematic areas and suggest improvements
  • Create your brand to foster trusting relationships with business partners
  • Collaborate with IT professionals to implement effective systems
  • Provide escalation support to Sales and external partners
  • Work extended hours as needed, especially at month and quarter end
  • Working with distributors, manufacturing suppliers & logistics vendors 

Experience you’ll need:

  • Bachelor’s degree with 2+ years of relevant experience (Orders, Operations or similar)
  • Previous experience with Salesforce and NetSuite systems (or equivalent system)
  • Experience in a high volume / multi transactional environment
  • Supply chain processes (e.g. order booking, inventory planning, warehouse management)
  • Analytical mind with business acumen.

Security and Privacy Responsibilities section

This position carries special Security and Privacy Responsibilities for protecting the U.S. Federal Government’s interests:

  • Know, acknowledge, and follow system-specific security policies and procedures;
  • Protect data and individual privacy per requirements and regulations;
  • Perform ongoing activities in compliance with service and contractual obligations;
  • Participate in role-based training, completing assignments on a timely basis; 
  • Report security issues promptly, and aid investigation when needed;
  • Support controlled changes and vulnerability remediation activities; and
  • Work collaboratively with Information Security in designing, implementing, assessing or enhancing system-specific security and privacy controls. 

Position Risk Designation section:

This position carries responsibilities and duties involving U.S. Government interests.

Position Risk Designation: Non-Sensitive, Low Risk, Tier 1 

Incumbents without access to U.S. Government data may be required to complete Standard Form 85 and undergo a Tier 1 Investigation (T1) for non-sensitive positions of Low Risk. (Baseline screening; formerly National Agency Check and Inquiries (NACI)).

Position Risk Designation: Non-Sensitive, Moderate Risk, Tier 2 (Public Trust)

Incumbents with access to U.S. Government data may be required to complete Standard Form 85P and undergo Tier 2 (T2) Investigation for non-sensitive positions designated Moderate Risk.

Position Risk Designation: Moderate Risk Law Enforcement (CJIS)

When hired for a position where access to Moderate Risk criminal justice information is required, the employee must complete a fingerprint-based national criminal history background check within 30 days after the employee’s start date.

The minimum and maximum base salaries for this role are posted below; additionally, the role is eligible for bonus potential, equity and benefits. The range displayed reflects the minimum and maximum target for new hire salaries for the role based on U.S. location. Within the range, the salary offered will be determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
