Experience

  • Excellent time management skills; ability to manage multiple and competing tasks in a fast paced environment
  • Resourcefulness and flexibility; the ability to respond to changing needs, along with the ability to anticipate alternative solutions and to be prepared with contingency plans
  • Sound judgment; willingness to make independent decisions based on logic and common sense

  • Strong customer service orientation and sensitivity in responding to customer needs

Skills & Qualifications

  • 1-2 years’ related experience preferred
  • Bachelor’s degree preferred
  • Computer proficiency in Windows, Word, Excel, PowerPoint, and Outlook

Front Desk Responsibilities

  • Be present at front desk for designated shift from 8:30-4pm or 9-5:30pm (exclusive of scheduled breaks)
  • Greet and log employees, visitors, and vendors; facilitate signing of NDA
  • Oversee experience and processes for incoming guests and corporate partners
  • Serve as point person to answer the phone, screen and route incoming calls, and deliver phone messages in a polite and professional manner
  • Receive and facilitate the delivery of food and catering
  • Receive and distribute incoming mail and packages for employees in coordination with the Office Services team
  • Support office services team in the receiving and communication of package deliveries, which may include FedEx or courier communication. Assist with package labels as needed
  • Update and maintain office forms and lists, including the reception coverage guide and locker assignments
  • Support office safety and security initiatives and requirements as pertaining to the front desk including visitor sign-in, door lock functions, and access to emergency response notification
  • Provide parking validation and manage extended or other parking processes as needed
  • Special projects as assigned

Meeting, Event & Conference Room Support

  • Assist with the overall function of the center, including or possibly including:
  • Manage meeting room bookings for internal and client meetings in partnership with the EA/AA and Client Experience Teams
  • Provide support for in-house meetings and events, including check-in and catering.
  • Schedule office maintenance and repairs as needed through Workspeed and CrowdComfort
  • Maintain overall center appearance alongside the Office Services team

Administrative Support

  • Provide IT support – proactively engage in understanding tools such as Webex and video conference room capabilities as related to executive support 
  • Other general or ad-hoc administrative tasks such as visa coordination if needed

Continuous Improvement

  • Look for opportunities to standardize and document daily processes
  • Work toward establishing and improving upon current processes, integrating best practices, and adapting working styles to best support the changing needs of the center
  • Work with colleagues to re imagine processes to provide greater efficiencies and save time

Additional Support

  • Assist with needs related to new hire onboarding and communication such as parking instructions, business card requests, mailboxes, Amex, Concur, and other information
  • Key card management for permanent staff and short term visitor passes as necessary
  • Assist with implementation of office norms for both local and visiting venture teams
