Who are we looking for?

We are looking for a motivated, personable, and detail-oriented Operations Associate to provide support to our day-to-day activities - this includes everything from ensuring our internal hiring process is effective and efficient, to managing our freelancer network, to providing administrative support to our Agency and Talent Acquisition teams. You will directly contribute to the expansion of our company by finding new team members to support our increasing business demands. You’re the type of person who is always committed to providing suggestion on how to improve processes.

What will you be doing?

Client Job Listings & Agency Projects

  • Work with the COO and Operations Manager to ensure organizational processes are running smoothly.
  • Write & post new client job listings based off of client intakes performed by sales and customer success.
  • Provide administrative support to the agency team for reporting and asset development tasks.

Freelancer Network

  • Assist in implementation and optimization of Freelancer Management Platform.
  • Source qualified candidates for freelancer positions and add to Freelancer Management Platform.
  • Generate, administer, and file freelancer agreements.
  • Manage payment processing to freelancers.

Internal Recruiting Support

  • Optimize and manage our applicant flow within our Applicant Tracking System (ATS).
  • Post open positions for internal hiring, and ensure the ATS is always up to date.
  • Check in on candidate pipelines and ensure resumes are being screened in a timely manner.
  • Understand the local talent pool and identify any market-specific traits and challenges to attract top talent.
  • Work with external recruiters to develop pipelines of candidates for hard-to-fill internal positions.
  • Attend local hiring fairs and provide company information to the community to attract the best new talent.

What are the required qualifications?

  • 1+ years of experience as an Operations Associate, Administrative Assistant, Talent Acquisition Coordinator, or similar role in a fast-paced environment
  • Highly organized, detail oriented, and able to prioritize
  • Flexible team player who can wear many hats
  • Problem solver with the ability to handle change in a fast-paced environment
  • Comfortable collaborating and working autonomously
  • Proficient at verbal and written forms of communication

Top candidates will also have:

  • Experience working within an Applicant Tracking System
  • Experience in Customer Success or Account Management

Where are we?

CovalentCreative is a distributed organization whose team members primarily work remotely. We have an office on 5th avenue in Hillcrest, San Diego that you can work from if you choose. It is currently being redeveloped with brand new workstations to allow for anyone to pop in when they choose. Our office space is also home to an incredible in-office studio where we livestream, film education, host interviews, and do product photography!
