Executive Assistant
The Opportunity
M13 is seeking an Executive Assistant to play an essential role in overall company success by maximizing the productivity of our Executive Leadership Team. The individual in this position will be a trusted partner, with a passion for organization and structure, and performance history supporting executives in a fast-paced environment. This role requires the ability to complete simple to complex tasks quickly, with minimal guidance, utilizing appropriate urgency per situation, and proactively anticipating business priorities. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of M13 is critical.
This position will rarely be the same from day-to-day; whether focused on aspects of calendar management, helping coordinate domestic and international travel, or operating as a liaison, this is a unique opportunity for a thoughtful and ambitious individual who wants to be a key contributor to M13’s growth and overall success. This position will collaborate with and be supported by our Senior Executive Assistant and is a part of our overall M13 Administrative Team.
Who we're looking for
- At least 2 years of administrative experience, preferably supporting executives whose time was constantly in high demand.
- A world-class level of responsiveness, grit, and overall work ethic; our M13 Executive Team is dynamic and will require someone who can match their energy and professional expectations.
- Exemplary written (crafting/editing emails, documents, and agendas) and exceptional verbal communication skills.
- A passion for and mastery in all things G-Suite, most importantly Google Calendar, in order to manage complex and shifting scheduling needs.
- Familiarity and success using Slack, Box, Zoom, Affinity, Base Camp, and other applications within the M13 technology stack.
- Project management or coordination experience is preferred to track and help drive completion of key deliverables and outstanding items.
- A constant eye on root-cause analysis to help drive standardization and scalability via continuous process improvement.
- A high emotional quotient and ability to read people and situations to facilitate relationship building and strengthening on multiple fronts.
What you'll do
- Execute and follow up on delegated tasks, projects, and initiatives, including collecting and printing documentation, creating presentations, and distributing necessary materials to internal staff and external contacts.
- Handle substantial calendar management to promote productivity - scheduling internal and external meetings, confirming meeting date/time, space, and attendees, creating and owning meeting collateral, and constantly monitoring for conflicts.
- Arrange domestic and international travel logistics, including flight itineraries, lodging reservations, and car rental/service in accordance with Executive Team travel preferences.
- Process timely and accurate expense reports for our Executive Team, ensuring all policies are followed within company guidelines.
- Provide general office support, including receiving and opening mail and deliveries, greeting visitors and internal employees, and prepping meeting rooms (including technology set up).
- Facilitate highly confidential communication between the Executive Team and internal team members, as well as external partners.
- Coordinate company-wide programming such as all-hands presentations and team events.
- Manage gifting for various internal and external individuals, ensuring timely delivery.
- Ensure consistent services and support quality across the organization by providing back-up support to other administrative team members.
- Become an M13 brand ambassador regarding all aspects of the company’s organizational structure, strategic vision, business strategy, and standards
