Tri Delta is seeking an Operations Manager, Legal Records & Compliance to create and maintain the infrastructure that keeps the organization legally compliant, contractually protected, and operationally sound.  This role serves as the organizational authority on administrative compliance and documentation standards. 

The ideal candidate is a detail-oriented, high-accountability professional capable of exercising independent judgment and closely collaborating with legal counsel and senior leadership.

The role is remote eligible. Candidates must be physically located in the US and eligible to work in the US without sponsorship.

Details

  • Status:  Full-Time / Exempt
  • Salary: $55,000-60,000 
  • Location: Remote eligible   
  • Travel: 4-6 times per year   
  • Supervised by: Director of Operations, Work Transformation
  • Supervises: n/a 
  • Driving Status: Occasional  

Key responsibilities 

Responsibilities will include, but are not limited to, the following: 

Contract Management

  • Maintain a centralized contract repository and ensure all agreements are current, accessible, and properly executed
     
  • Track key contract milestones, including expiry dates, renewal windows, and performance obligation, proactively alerting stakeholders
  • Coordinate with legal counsel on contract reviews

Business Records Management

  • Design and maintain a comprehensive records management program governing the creation, organization, retention, and disposal of organizational documents
  • Ensure records practices comply with applicable legal, regulatory, and audit requirements.
  • Maintain the records retention schedule with input from department leaders
  • Serve as the point of contact for business records requests, including responses to audits

Business Registrations & Licensing

  • Own all business entity registrations, including state and local filings and registered agent relationships
  • Track and manage all business licenses, permits, and regulatory registrations, ensuring timely renewals and no lapses in good standing.
  • Maintain an organized inventory of all active registrations, licenses, and permits with renewal calendars and ownership assignments
  • Support the Housing team as properties transition into the Tri Delta Housing portfolio

Organizational Administrative Operations

  • Develop and maintain policies and SOPs
  • Maintain enterprise-wide operational documents and collaborate across the enterprise to ensure documents are accurate and updated
  • Manage the library of organizational resources
  • Collaborate with the Fraternity team to ensure that records become part of the Fraternity’s historical archives when appropriate

Qualifications

Required qualifications include: 

  • Bachelor’s degree or equivalent experience
  • 2+ years of hands-on experience in operations, contract administration, or a related administrative compliance function
  • Exceptional organizational skills with meticulous attention to detail
  • Proficiency with Microsoft Office and document management systems

Preferred qualifications include: 

  • Experience in a membership-based organization, nonprofit, or association
  • Experience with Salesforce reporting and dashboards
  • Experience leading change management and training staff
  • Familiarity with multi-state business registration requirements
  • Experience supporting legal, compliance, or executive functions
