Skydance Animation is looking for an Office Receptionist to join our Facilities team at our Santa Monica office. This position reports to both the Manager, Facilities and VP, Facilities Operations. This role is responsible for creating and maintaining the tone of our office environment for both visitors and fellow employees. Our ideal candidate is extremely service oriented, prioritizes time and tasks well, and is a problem solver and acutely organized. The role provides great opportunity for those with an enthusiasm for, and a desire to explore, animation.
Responsibilities
- Ownership of reception and other common areas, including answering and routing calls, greeting and assisting visitors, coordinating with security, managing conference room bookings and prep, mail delivery and pick-up, etc.
- Draft written communication, company-wide emails, announcements, instructions, etc. as well as fielding incoming requests from employees
- Ensure common areas (conference rooms, recording rooms, kitchens, supply, and storage rooms) are clean, organized, and stocked
- Coordinate directly with pantry and cleaning vendors to ensure all employee areas are appropriately stocked and cleaned
- Coordinate with building management and engineers on maintenance, repair, parking, and service requests
- Work closely with HR and IT to support new employee onboarding and setup
- Support inter-office moves and ensure all employees have the tools they need to do their work in a comfortable and supportive environment
- Assisting events, production and development teams with special events, meeting room setup, and other projects as necessary
- Reconcile monthly operational expenses and submit receipts
- Support office safety program
- Other ad hoc duties as assigned to assist wider campus Facilities Operations team
Requirements
- 1+ year experience in an administrative function, such as an assistant, reception, office PA, or administrative role or internships
- Ability to be on-site at Santa Monica campus full-time, Mondays-Fridays from 9:00 am to 6:00 pm
- Self-starter with high energy and able to learn and respond quickly while maintaining a positive attitude under pressure
- Ability to anticipate, execute, and prioritize tasks with limited supervision
- Able to take direction but can also work independently to anticipate; strong organizational, problem-solving
- and time-management skills
- Must have excellent written, verbal, and interpersonal communication skills, with the ability to interface with staff, other administrators, and internal and external contacts of varying seniority
- Trustworthy with sensitive and confidential information
- Proficient in Microsoft Office Suite and Google Suite; familiarity with Canva and Adobe Photoshop a plus
- Ability to lift up to 40 lbs
The compensation range for this non-exempt position in Los Angeles, CA is $19.25-22.00/hour. The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors. The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
